We are presently hiring a Full Time dynamic and experienced Receptionist/Administrative Assistant who will ensure efficient office operations and delivering exceptional customer service. As the first point of contact for visitors and callers, you will represent our organization's values and create a positive and professional atmosphere. You will provide administrative support to various departments, assisting with clerical tasks and contributing to the smooth functioning of daily operations.

What’s a typical day look like?

  • Greet visitors, answer phone calls, and provide excellent customer service.
  • Direct and assist visitors, ensuring they receive the necessary information or connect them with the appropriate person.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Maintain the reception area, ensuring it is clean, organized, and presentable.
  • Perform general clerical tasks such as filing, photocopying, scanning, and data entry.
  • Schedule appointments, meetings, and conference rooms.
  • Assist in coordinating internal and external meetings, including booking conference rooms, and arranging catering.
  • Collaborate with other departments to support their administrative needs and provide assistance as required.
  • Maintain inventory of office supplies and place orders when necessary.
  • Create and maintain monthly administrative meeting minutes.
  • Ensure accurate and timely filing of documents, records, and correspondence. Organize and maintain electronic and physical filing systems.
  • Maintain confidentiality of sensitive information and exercise discretion in handling documents.
  • Act as a liaison between different departments, relaying messages and coordinating tasks.
  • Collaborate with team members to support various projects and initiatives.
  • Assist in organizing company events and meetings, including logistics, catering, and materials preparation.
  • Handle basic IT troubleshooting, such as printer and computer issues, or coordinate with the appropriate department for resolution.

Where and when will you work?

You will work at our Admin Office in Las Vegas.

Full Time (40 hours), Monday to Friday

How do you qualify?

  • High school diploma or equivalent required.
  • At least 1 year experience with administrative, reception and clerical procedures required.
  • Competency in Google and Microsoft applications including Word, Excel, and PowerPoint.
  • Professional and friendly demeanor with exceptional customer service skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong problem-solving skills.
