Swiss Re is Hiring an Assistant Office Manager Near New York, NY

About the role
The Assistant Office Manager under the direction of the CRES Office Manager will oversee the office, vendors and manage the building issues as it pertains in coordination with the lease. The position is based in Midtown Manhattan.
Responsibilities of position:
  • Assist in the oversight of facilities operations for Swiss Re's office(s), including Landlord liaison, vendor relationships.
  • Assist in the oversight of external vendor document management, security, cleaning, and all office maintenance including monitoring performance, accountability, deliverables and invoicing as defined by proposal and/or contract.
  • Oversee on boarding and off boarding within the workplace management tool (Planon).
  • Generate and manage Purchase Orders.
  • Responsible for timely submission of program related waste and recycling.
  • Participate in Fire Safety Drills.
  • Support special events and conferences including setting up and logistics.

Our CRES team manages all Real Estate & Facilities operations and provides professional solutions to stakeholders at all levels of the organization. As a trusted advisor and partner, we constantly engage with internal and external experts and leverage individual skills and team knowledge.
About you
  • This role is full time and onsite.
  • Position may require working after core hours and weekends.
  • Must be able to spend several hours walking/standing light lifting (at least 15 pounds) and physical exertion for minor building repairs.
Requirements:
  • Bachelor's degree or relevant work experience required.
  • Minimum 5 years facility or office management experience preferred with a track record in building employee relationships.
  • Strong familiarity with corporate support functions, contract management and vendor relationships preferred.
  • Strong communications, verbal and written, required.
  • Microsoft Office tools at a basic level, i.e. Excel, Word
For New York, NY, the estimated base salary range for this position is $48,000 to $78,000. The specific salary offered for this, or any given role will take into account a number of factors including but not limited to job location, scope of role, qualifications, complexity/specialization/scarcity of talent, experience, education, and employer budget. This means that we consider all components of compensation in their totality (such as base pay, short-and long-term incentives, and benefits offered), in setting individual compensation.
