Office Manager needed in Manhattan!
Full time, 35 hours/week position!
POSITION OVERVIEW
Manhattan North Counseling Center is an Article 31 OMH certified outpatient mental health clinic. The clinic is located in a racially and culturally diverse community and treatment and services are provided in a culturally affirming manner. The clinic serves individuals of all ages and their families and support system. The Office Manager will oversee and ensure that the program's administrative functions and needs are met, including billing and financial operations, facilities, and maintenance, data collection and databases, human resources matters, supplies and ordering, and supervising clerical staff.KEY ESSENTIAL FUNCTIONS
-Assist Director in all areas of program administration and management. Maintain open line of communication with supervisor on all areas pertaining to the program-Oversee facility and maintenance needs for the program-Supervise clerical staff members, providing training, directing work flow, and monitoring for accuracy-Enter program attendance/billing for services into Anasazi in a timely manner as necessary-Run and correct billing audit reports and denials-Maintain organized billing and work files-Run necessary program reports for billing certification and make corrections when necessary -Enter and maintain client demographic, diagnosis and insurance information in Anasazi and other electronic records systems as required-Enter admissions, discharges and transfers into Anasazi and other electronic records systems as required-Communicate with the Anasazi department and the Accounts Receivable department as needed-Check Medicaid eligibility, notifying the program supervisor of problems with eligibility -Resolve problems related to billing, seeking guidance as necessary from supervisors-Responsible for fiscal operations of the program-Monitor, distribute and replenish petty cash and Metrocards for the program-Complete and submit all AP1s and follow-up with vendors and JBFCS Central Office to ensure timely payment of invoices-Monitor and submit all Human Resources form as necessary and as directed by supervisors-Maintain on-site personnel records and credentials for all staff-Supervise the filing and storage of case records, back-up billing documents, and all other program documentation-Assist in creating new case records and new volumes of charts-Order and maintain supplies for the program site -Responsible for periodic inventory-Responsible for tracking necessary program data utilizing databases, Anasazi, and other available tools, which includes all admissions, discharges and reassignments, levels of service, and other measurable-Responsible for monitoring and ensuring that all program equipment and contracts are maintained, serviced as needed and in good working order-Maintain required logs, paperwork and files for all equipment, which includes but is not limited to, copiers, faxes, computers, printers, telephones, security system, kitchen equipment and vehicles-Liaison with support personnel at Central Office and other contractors as needed to complete the above-Monitor and file group notes by hour and day of service-Ensure that there is sufficient supply and good copies of all program forms available for use-Ensure preparation of new charts for admission and splitting of client charts into new and additional volumes-Assist Director and Program Supervisor with administrative projects as needed-Participate in staff meetings and Continuous Performance Improvement meetings and activities-May be called upon to perform any of the tasks normally associated with subordinates-Other duties as assignedEXPERIENCE REQUIRED-Minimum of three years of experience in office management or accounting.
-Medical/Clinical mental health setting experience required.-Minimum of three years of supervisory experience. -Proven organization skills. -Ability to work well with a team and to communicate effectively -Capacity to manage projects and responsibilities effectively-Strong managerial skills (written, analytical and verbal)Salary: $58,500 per year plus benefits.For more information and to apply, please contact:
