Position Overview:

We are seeking an experienced and detail-oriented Accounts Payable (AP) Manager to oversee and manage our accounts payable processes. This role requires a strong finance professional who has a thorough understanding of maintaining a continuous improvement mindset and ability to proactively identify, review, and implement process and system improvements and ensure objectives are achieved.

The AP Manager will be responsible for ensuring accurate and timely payments to vendors, maintaining compliance with company policies and regulations, and optimizing the efficiency of the AP function. Additionally, this position will direct and oversee the daily management of the AP team. This position will play a critical role in supporting the financial operations of our organization and contributing to our overall success.

Responsibilities:

  • Vendor Management: Maintain relationships with vendors, negotiate terms and contracts, and resolve any billing discrepancies or payment related issues.
  • Invoice Processing: Oversee the timely and accurate processing of invoices, ensuring proper coding, approval, and payment.
  • Payment Processing: Coordinate payment runs, including checks, ACH transfers, and electronic payments, in accordance with payment terms and deadlines.
  • Month-end Close: Prepare and reconcile AP-related accounts for month-end closing processes, including accruals and adjustments.
  • Compliance: Ensure compliance with internal controls, accounting standards, and regulatory requirements related to accounts payable.
  • Process Improvement: Identify opportunities to streamline and improve AP processes, implementing best practices and efficiency enhancements.
  • Reporting: Generate AP reports and metrics to track performance, identify trends, and support decision-making by management.
  • Leadership and Management: Mentors, coaches, and develops employees through organized and structured programs including, but not limited to, communication of policies and rules, constructive discipline, establishment of objectives, and timely and accurate completion of deliverables.
  • Other duties as assigned.

Requirements

Qualifications:

  • Bachelor’s degree in accounting, finance, or related field.
  • Minimum of 5 years of progressive experience in accounts payable, with at least 2 years in a supervisory or managerial role.
  • Knowledge of accounting principles and practices, with experience in a healthcare or medical waste industry preferred.
  • Proficiency in accounting software (e.g., NetSuite) and Microsoft Excel.
  • Strong project management skills, ability to prioritize in a fast-changing environment, strong analytical skills.
  • Strong analytical skills and attention to detail, with the ability to identify and resolve discrepancies.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal and external stakeholders.
  • Proven leadership abilities, with experience in managing a team and driving results in a fast-paced environment.
  • Certification (e.g., CAPP - Certified Accounts Payable Professional, CAPM – Certified Accounts Payable Manager) is a plus.
