Seven Hills Foundation is Hiring an Administrative Assistant DayHab (87.1) Near Worcester, MA

Overview

New Hire Sign-on Bonus: $1,000.00

The Administrative Assistant performs a variety of administrative, secretarial and clerical duties to ensure the smooth functioning of the Day Habilitation and Adult Day Health Programs. To assist in providing transportation to Assistant Vice President to assigned programs.

Responsibilities

In conjunction with the Assistant Vice President, develops, supervises and maintains all office policies and procedures.To maintain filing systems, including participant confidential files.To maintain participant attendance records.To maintain a directory of Participant Information and General Phone Directory.To maintain inventory and order as needed; office supplies, subscriptions and other program supplies as assigned.Maintain sites’ SHF Policy and Procedure Manuals and Program Specific Policy and Procedure Manuals as assigned.To provide transportation assistance to the Assistant Vice President as needed.To provide general IT support, complete equipment and work orders for IT and maintenance issues.To act as a receptionist and telephone operator including maintaining visitor log.To maintain fiscal records for petty cash and other program monies received/used and to monitor security of monies kept at the program.To complete billing and ancillary tasks for all consultants, and participants, including the data entry into the computer system on a timely basis.To perform regular monitoring of participant eligibility (REVS reports.)To oversee and complete timely submission of all MassHealth mandated forms as assigned.To oversee and direct work to part time secretary.

Maintain and/or coordinate repair and maintenance of office equipment, AED and other building needs.

To be familiar with the subsidiaries overall operation as established by written description of service and organization information.

To perform human resources related functions in regard to hiring, transfers and termination of staff.

To perform additional duties as assigned.

Qualifications

  • High School graduate with two (2) years related office experience.
  • Excellent computer skills and customer service skills required.
  • Valid Driver’s License with access to a vehicle required.
