Responsible for organization, data, and logistics in a busy office with a high level of students and parent contact. Face of the office in working with college visitors and guests. Upper School Attendance Manager Maintain accurate student attendance for the Upper School; compile daily Upper School attendance report beginning at 7:30 am each day.. Run attendance at 8:15am and then 15 minutes after the start of each period. Inform US Office of missing students ASAP; Deans will then follow up. Run tardy/absence and pastoral discipline report from the boarding software by 10am and email students who have accrued 3 tardies (warning email). Coordinate all communications around attendance, including parent calls and emails to students and faculty. NCAA Eligibility Coordinator Upload records for athletes Maintain WA courses page MaiaLearning/Database Manager Download/upload all transcripts, previous school records, and updated reports Upload testing from College Board and ACT Maintain accurate student records (new students, withdrawals, address changes) Run reports for director Send recommendations and documents for all students Update and share scholarship opportunities Schedule and Coordinate Admission visitors to campus Schedule visits on Maia Learning and manage calendar Apprise students and families of visits and process Meet with college reps in rotation with other team members Other duties Update college profile data Welcome visitors and provide general office info Field calls and emails and be able to provide accurate general information on college application, testing, and office matters Maintain office budget and order supplies. Maintain office space Participate in college events and programs (including evening and weekend programs) Attend weekly staff meetings Manage facilities requests for all testing and office events Attend professional development programming, college visits, and regional events Assist Testing Coordinator with time-sensitive tasks related to PSAT, SAT, and AP testing. Experience and Skills: Education High school diploma or GED equivalent; Associate’s or Bachelor’s degree preferred Experience 1-3 years administrative support experience preferred. Prior experience in an College Counseling Office highly desirable Successful prior experience with database management, data entry, data reporting and analysis preferred Demonstrated ability to create and maintain reports and systems that enhance organizational efficiency Proficiency with MS Office, MS Excel, web-based programs, and/or strong capability to learn new systems Knowledge, Skills and Abilities Ability to work independently, maintain confidential and sensitive information relating to student/parent needs and concerns Ability to communicate effectively verbally in writing Ability to interact with employees, students and parents in a professional manner Ability to work independently and with a team in a fast-paced and high volume environment with emphasis on accuracy and timeliness Strong work ethic, professional attitude, reliable Must be well organized and have the ability to anticipate changes in work flow Expertise knowledge level required for working with Word and Excel; Intermediate knowledge level required for working Google docs, Learning Management Systems, and various database software programs
