JOB TITLE: Executive Administrative Assistant

DEPARTMENT: Administration

REPORTS TO: Chief Executive Officer

JOB SCHEDULE: Full-Time

EXEMPTION STATUS: Exempt

GENERAL DESCRIPTION:

SEAMAAC welcomes applications for the position of Development and Grants Coordinator. SEAMAAC is a nonprofit organization in Philadelphia, with the mission “To support and serve immigrants and refugees and other politically, socially and economically marginalized communities as they seek to advance the condition of their lives in the United States.” SEAMAAC envisions a strong and unified society, where immigrants and refugees work alongside other Americans to build shared political, economic, and social power. We envision a community where the contributions of each generation of Americans, whether Native to this land, immigrant, or brought against their will, are equally acknowledged, valued, and embraced, and where all people live whole, healthy lives with joy and dignity.

QUALIFICATION REQUIREMENTS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. EDUCATION and/or EXPERIENCE:

Bachelor’s Degree preferred in Business Administration from an accredited college or university. A minimum of three years in management, supervisory and administrative experience, preferably in a not-for-profit organization, plus at least two years of experience in ethnic and racial minority communities and/or urban communities, will be considered.

ESSENTIAL FUNCTIONS:

· Maintain and reinforces office policies and procedures

· Supports senior-level managers and may supervise other support staff

· Ability to work well with all levels of internal management and staff and stakeholders

· Supervises a team of project assistants/coordinators and oversees all aspects of the planning, implementation and tracking of project progress and results

· Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel

· Represents the executive by attending meetings in the executive's absence; speaking for the executive

· Uses discretion and confidentiality

· Excellent presentation and group facilitation skills

· Ability to work independently as well as with a team

· Proven track record of being a self-starter, ability to work independently while observing and complying with all standards of the supervisory structure of the organization

ADDITIONAL DUTIES AND RESPONSIBILITIES:

  • Actively participate in organization-wide work efforts and events
  • Manages the day-to-day operations of the office
  • Assist with facility logistics and operations
  • Prepares reports and financial data;
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • May require some travel and evening and weekend assignments

· Monitors activity and posts content for an organization’s social media channels

COMPETENCIES:

  • Excellent communication skill, both oral and written: excellent computer skills
  • Understanding and sensitivity to issues of race, class, nationality, religion, age, gender, sexual orientation, and disability
  • Knowledgeable about the issues facing African and/or Southeast Asian refugee communities in particular and immigrants in general in urban settings
