Role Objective:

We are seeking a highly organized and customer service-oriented individual to join our team as real estate administrative assistant. In this role, you will be responsible for removing all administrative tasks from the sales people so that they can spend as much time as possible in sales. In addition, you will assist in managing the closing process for home settlements and mortgages, ensuring smooth and efficient transactions for our clients. The role will also handle various administrative tasks, particularly related to file creation and management, to support the operations of our office.

Responsibilities:

  • Provide administrative support to sales team members, including scheduling appointments, answering office phone lines, and responding to email inquiries.
  • Assist in the preparation of legal documents, contracts, and agreements as needed.
  • Maintain detailed records and documentation related to each transaction.
  • Assist with managing pipedrive, ensuring information in the system is accurate and up to date.
  • Create and organize files for each transaction, ensuring all relevant documents are accurately filed and easily accessible through dropbox.
  • Assist with the coordination, marketing materials and general preparation for community engagement events, agent showings and open houses.
  • Manage office supplies and equipment, ensuring adequate stock levels and functionality.
  • Assist in the implementation of office procedures and policies to streamline operations and improve efficiency.
  • Perform other administrative duties as assigned by management.
  • Serve as the primary point of contact for clients, real estate agents, lenders, and other parties involved in the closing process.
  • Coordinate with all stakeholders to schedule and facilitate closing meetings and signings.
  • Ensure all necessary documentation is prepared accurately and submitted in a timely manner.
  • Communicate effectively with external and internal parties to provide updates and address any questions or concerns throughout the closing process.
  • Work closely with title companies, attorneys, and lenders to resolve any issues that may arise during the closing process and to obtain general status updates for buyers.

  • Excellent communication and interpersonal skills, with a focus on providing exceptional customer service from start to finish
  • Detail-oriented with a high level of accuracy in data entry and documentation.
  • Ability to work independently with minimal supervision, as well as collaboratively in a team environment.
  • Flexibility to adapt to changing priorities and deadlines in a fast-paced start-up work environment.
  • Thrives working in a team structure and loves helping other team members win.

Qualifications:

  • Bachelor's degree or equivalent work experience preferred.
  • Previous experience in real estate, mortgage lending, or a related field is highly desirable.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Experience with pipedrive a plus
