Purpose of the Role

Saunders Construction, Inc, (Saunders) is seeking an accounts payable administrator to join the accounting team. The Accounts Payable Administrator is responsible for accurately processing and recording accounts payable transactions. This includes verifying invoices, reconciling discrepancies, and ensuring timely payments to vendors and suppliers. The position requires attention to detail, strong organizational skills, and the ability to work collaboratively with other departments and outside vendors.

Functions / Duties: Full Cycle AP

  • Data entry of accounts payable invoices (50%).
  • Verify coding of invoices and route invoices to the appropriate team members for approval. Most invoices are received electronically through our document management system.
  • Document Management data quality, coding, review, and batch posting.
  • Manage, maintain, and process corporate credit cards.
  • Assist in preparation of weekly check runs for multiple companies and upload into 3rd party payment center.
  • Calculate and apply local, city and state sales and use tax rules to invoices.
  • Submit State and City Sales & Use taxes.
  • Process credit applications and check requests as needed.
  • Prepare and record internal transactions and reclassifications through Accounts Payable.
  • Research and reconcile vendor statements and invoice inquiries from internal and external customers.
  • Develop and maintain professional relationship with vendors, handling all inquiries in a timely manner.
  • Assist with annual preparation of 1099s.
  • Process monthly Verizon bill and allocate it to the jobs and departments.
  • Assist with implementation of new Imaging Workflow and OCR integration (anticipated launch Q1-2024).
  • Assist with implementation of new credit card application and expenses (anticipated launch Q2-2024).

Knowledge / Skills / Abilities / Qualifications / Experience

  • 2 years of experience in data entry and accounts payable.
  • Proficient in Microsoft Excel, Teams and Word.
  • Ability to effectively prioritize work and meet deadlines.
  • Detail oriented, analytical, resourceful, problem solving and willing to learn.
  • Excellent interpersonal, communication, and organizational skills are essential.

Physical Demands

The following are some of the physical demands commonly associated with this position:

  • Spends approximately 90% of the time sitting or standing, and 10% of the time walking while on the job.
  • Constantly uses verbal and auditory capacity enabling interpersonal communication as well as communication through automated devices such as E-Mail or telephone/cell phones.
  • Constantly employs eye, hand and finger coordination enabling the use of office machinery such as computer keyboard.
