Job Summary:
The Administrative Assistant/Receptionist serves to proactively support Project Managers and continue the cultivation of our culture, our influence, and the support of our staff and clients of Salas O’Brien, a growing national Architecture and Engineering company. To thrive in this role, you will need to be an energetic professional who cares about the big picture while being diligent about meeting deadlines and following through on assigned or assumed tasks.
General Duties:
- Participate in client account support
- Extracting closeouts for ASG, AF and Design/Bid projects.
- Processing close-out packages, CAD files for upload to SharePoint to allow for DA/PM/CAD Librarian access
- Extracting Project Plans
- Coordinate editing for Client status logs (Alliance monthly updates).
- Complete client metric reports.
- Book travel/lodging reservations for SAC Team.
- Order office supplies, equipment for the SAC team
- Welcome visitors and answer phones
- Accept packages and prepare materials for shipping, Fed Ex / UPS, etc.
- Sort and distribute incoming mail and misc. deliveries
- Open and close the office
- Edit project technical specifications and assist with processing project submittals
- Keep track of inventory and order supplies
- Assist with the planning and coordination of office events, including client meetings, office lunches, parties, and travel planning
- File and complete various administrative work
- Scan drawings and set up files per managers requests
- Assist office team with various tasks including scanning, copying, and filing invoices
- Complete various projects as assigned by Supervisor
- Maintain copier with paper and toner
- Clean communal spaces as needed
Skills:
- Must be a Microsoft Excel, Office, and Word user.
- Ability to work in a fast paced and demanding environment
- Energetic, organized professional with a knowledge of finance related software.
- Self-sufficiency on projects and being responsible for organization, communication, implementation, and completion.
- Excellent communication skills (both written and verbal).
- Strong analytical skills.
Qualifications:
- You have experience in accounting/finance.
- You have experience with interacting with technical staff and outside clients.
- You have a minimum of a high school diploma
- You have administrative experience in a professional environment
- You can work within a team environment
- You can take initiative and work independently
Location: Irving, Texas
Travel: There is no out of town travel however local errands with reimbursed vehicle mileage is required.
