Administrative Assistant II
Pay : $30 - $35 an hour
Duration : 6 months, Contract, W-2
Parking is not included - cost is $275 / Month
The level II Administrative Assistant works independently and with a team as an Office Services - Receptionist and is responsible for managing the guest experience and ensuring daily reporting is accurate and timely.
Primary Responsibilities :
- Receiving High Profile Guests
- Ensuring conference suites are tidy , catering is delivered on time , and that WebEx connections are begun at the request of meeting host
- Answering internal Central Phone and Virtual Concierge lines
- Creating and tracking facilities work orders
- Creates and maintains lists, files and databases to enhance efficiency and productivity.
- Organizes and maintains information that may be sensitive, confidential or technical in nature.
- Audits records for discrepancies and reconciles issues as appropriate.
- Keeps abreast of internal policies, practices and guidelines (e.g., conference call and WebEx best practices, Office Services processes, etc.
- Track, gather, maintain and compile internal information, and generate reports .
- Conduct basic analysis and auditing .
- Serves as first point of contact for inquiries.
Assesses level of urgency, determines business nature and identifies what inquiries need to be directed to particular team members.
Responds to routine internal and external queries concerning guidelines, procedures or operations.
Escalates issues and redirects technical queries to others as appropriate.
- May work on special projects as assigned.
