Pay Range: $25.65 - $26.55
Position Summary
This position is responsible for various general administrative support tasks for the client’s business unit(s). If you are an experienced assistant who enjoys a relationship role, supporting a large-scale team and working on multiple tasks, this position is for you!
Duties and Responsibilities:
Primary responsibility is to support client HR and Legal personnel with processing high volumes of employee related documentation
Timely process high-volume paper filings, including collating, copying, distributing for signature, scanning and mailing hardcopy filings
Troubleshoot high-volume printing issues
Triage and escalate urgent cases to appropriate teams
Track, accurately update and confirm case status within case management software tool in real time
Run and analyze case status reports within case management tool
Conduct data audits and work with stakeholders to ensure data integrity
Manage calendaring, file records, compile data for reports, assist client cost centers during budget cycles, answer/screen phone calls, coordinate meeting room facility/operational needs, take meeting notes and distribute team action items, onboarding/offboarding individuals and vendors/suppliers, process expense reports, prepare/edit meeting agendas and presentation materials and manage procurement services for team members
Perform other duties as needed
Job Requirements
Education and Experience: The requirements listed below are representative of the knowledge, skill, and/or ability required.
Bachelor’s degree in any field
1 years of experience in an administrative assistant/customer service role; experience at a large company preferred
Meeting deadlines with both daily routine work and random requests
Consistently following detailed and strict documentation SOPs
Working with cross functional teams on various operational tasks
Experience working with enterprise level applications e.g., ERP, CPM, etc. preferred
Qualifications:
Must be able to accomplish objectives that span multiple product or subject areas, and possess proactive and strategic problem-solving skills
Must have demonstrated interest in, and knowledge of, broad but related areas of technology
Highly detailed and organized approach to project and process management, with proven experience in establishing and maintaining strong collaborative relationships across a varied set of stakeholders and organizations
Excellent communicator with expertise in written, visual and presentation formats and running effective stakeholder connection rhythms
Self-starter, with shared ownership mindset and excellent attention to detail
Self-awareness, the ability to be self-critical, and a strong desire to learn and grow
Excellent email, telephone and virtual meeting etiquette
Customer service orientated, ensuring needs are met in a timely fashion

Strong computer skills that include proficiency with M365 tools e.g., Word, Outlook, Excel, PowerPoint, Visio, Teams and SharePoint

Ability to read, write, and speak English proficiently
Physical Demands:
While performing the duties of this job, the employee is regularly required to talk or hear.
Frequently required to stand, walk, sit, use hands to feel; reach with hand and arms, and stoop, kneel, or crouch.
The employee must occasionally lift and/or move up to 25 pounds.
Specific vision requirements include the ability to see at close range, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
At times, may require more than 40 hours per week to perform the duties of the position.
