JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Clerkship Administrative Assistant coordinates third and fourth-year medical students rotating through the department; coordinates shadowing opportunities for college students and manages all aspects of educational requirements for the rotation. This position will also provide administrative support to the fellowships programs and assigned UT faculty including managing CVs, calendars, travel, and correspondence. Working within a team of individuals to help maintain research data for accreditation purposes and other requirements of the surgery department.
DUTIES AND RESPONSIBILITIES:
Medical Student Responsibilities:
* Serve as the departmental contact and support for medical students completing clerkship and electives.
* Schedules orientation, lectures, midterm evaluations, clerkship director advisory meetings, oral/written exams, and rotations.
* Gathers student evaluations and tally grades for submission to Memphis or corresponding medical schools.
* Compiles and maintains student lecture series, data/contact information for each rotation and distributes information regarding incoming students to faculty and staff.
* Provide documents, support, organization, and minutes for various meetings when working with the other medical student liaisons and faculty.
* Maintains confidentiality and discretion as needed for student and personnel issues.
Other duties and responsibilities:
* Provides administrative support to assigned UT faculty including updating faculty CVs, managing calendars, travel, and correspondence.
* Will be the assistant to the Medical Student Clerkship Director and administrative support to the Surgical Skills/Sim Lab Medical Director.
* Maintains or help support the following: departmental website, research data for ACGME accreditation Annual Program, and WebADS updates.
* Performs other duties as assigned.
MINIMUM REQUIREMENTS:
EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: Four (4) years office experience; OR Bachelor's Degree in lieu of experience.
KNOWLEDGE, SKILLS, AND ABILITIES:
* Ability to manage changing tasks and work with a diverse range of people and personalities.
* Ability to demonstrate excellent verbal and written communication skills.
* Excellent organizational and multi-tasking skills to prioritize work to meet deadlines and handle urgent matters while staying on task with other assigned duties and responsibilities.
* Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and Zoom scheduling, hosting, and functionality for breakout rooms.
WORK SCHEDULE: This position may occasionally be required to work weekends and evenings. May require occasional overnight travel.
