We are looking for a highly organized and proactive Executive Administrative Assistant to provide comprehensive support to our Senior Vice President of Membership, Marketing & Communications. The ideal candidate will be a self-starter with exceptional communication skills, attention to detail, and the ability to handle multiple tasks efficiently. This role requires a high level of professionalism, discretion, and the ability to anticipate the needs of the SVP while managing administrative duties effectively.
What's unique about this job (What you’ll do)
Calendar Management: Manage the SVP’s calendar, including scheduling meetings, appointments, and coordinating travel arrangements.
Communication: Serve as the primary point of contact for internal and external stakeholders, managing correspondence, phone calls, and emails on behalf of the SVP.
Meeting Coordination: Prepare agendas, materials, and presentations for meetings; attend meetings to record minutes and follow up on action items.
Administrative Support: Provide administrative support such as drafting correspondence, preparing reports, organizing files, and maintaining office supplies.
Project Assistance: Assist with special projects, initiatives, and events as assigned by the SVP, including research, data analysis, and coordination with cross-functional teams.
Confidentiality: Handle confidential information with discretion and professionalism, maintaining confidentiality at all times.
Relationship Management: Build and maintain positive relationships with internal and external stakeholders, representing the SVP professionally in all interactions.
Prioritization: Prioritize conflicting needs, handle matters expeditiously, proactively, and follow through on tasks to successful completion.
Problem-Solving: Identify and resolve administrative issues independently, seeking guidance from the SVP when necessary.
Continuous Improvement: Identify opportunities for process improvement and efficiency within the administrative function, implementing best practices to streamline operations.
