Port Parma Logistics LLC is Hiring an Administrative / Office Assistant Near Chicago, IL

Port Parma Logistics is looking for an administrative assistant to join our team in our Chicago office. This person will work to support the daily operations of the office. 

This is a PART-TIME role, estimated at 15-25 hrs per week. You MUST be able to attend an office location, in Chicago Illinois 2 days per week. You MUST be able to work 5 days a week. For Reference, closest Metra station is Healey.

The ideal candidate is a high-energy individual with excellent organizational skills, a strong attention to detail and the ability to communicate effectively in both written and verbal communications.

Responsibilities:

  • Organize internal resources - Build out and maintain processes to keepfiles and office tasks organized and easily accessible.
  • Liaise with vendors- Act as point person for incoming enquiries and any other necessary admin duties.
  • Support Finance - Assist with book keeping and updating of Quicken
  • Field inbound communications - Answer phone calls/general email inquiries and route to the appropriate internal parties as needed.
  • Help with creation and maintenance of policies and procedures - Assist management with the creation of new processes, rules and regulations.
  • Facilitate executive-level operations -Book travel, submit expense reports and send communications for high-level staff as needed.
  • Various Tasks - Assis with other tasks as required in the office.

Requirements:

  • High proficiency in Microsoft Office (especially MS Excel and MS Word)
  • Ability to operate independently
  • High school diploma or College Education
  • 2-4 years experience as an administrative assistant, secretary is mandatory
  • Strong organizational, communication, and time-management skills
  • Proven ability to work in a fast-paced environment 
  • Proven ability to switch across tasks and prioritize across many different areas
  • Positive, high-energy attitude
  • Resourcefulness, creativity, and problem-solving skill set
  • Familiarity with office equipment (i.e. printers, fax machines, etc)
