Northern Middlesex YMCA is Hiring a Bookkeeper - Administrative Assistant Near Middletown, CT

Reports to: Finance Director

FLSA Status: Non-Exempt

GENERAL DESCRIPTION:

Responsible for handling the fundamental aspects of recordkeeping, including recording financial transactions, managing accounts payable and receivable, and reconciling bank statements and providing administrative support to the Business Office.

PRINCIPLE ACTIVITIES:

  • Reconcile bank statements and ensure accuracy of financial data
  • Assist with month end closings – analyzing data and working with Program Directors to resolve issues
  • Provide special reports for audits, projects, etc. as required
  • Produce and analyze reports for collections, credit cards fees, and other miscellaneous reporting
  • Assist with Risk management duties including reporting of claims
  • Learn ADP payroll mapping and reporting
  • Assist with IT setting up accounts for onboarding new staff and resetting passwords for existing staff
  • Assist HR/Payroll and Benefits department with tracking trainings/background checks, FMLA hours, Workers Comp claims and any other tasks assigned by Supervisor while maintaining confidentiality of all personnel information.
  • Assist Fund Development with gift recognition correspondence, event registration and gift reporting
  • Process and pay CT sales tax
  • Organize and maintain physical and digital filing systems
  • Maintain vendor records and track discounts and sales tax exemption
  • Process accounts payable and receivable transactions in a timely manner
  • Daily Cash Receipts
  • Maintain Petty Cash balances and disbursements
  • Process state of Connecticut membership payroll deductions
    • Receive, process and distribute bi-weekly dues checks to YMCAs, prepare & mail reports, update database and research errors & discrepancies, etc.
  • Assist with and perform other duties as assigned by supervisor.

OTHER ESSENTIAL DUTIES:

  • Support and promote organizational priorities.
  • Work with supervisor to promote key elements of the strategic plan.
  • Interpret the YMCA as a membership organization and represent the YMCA positively at work and in the community at all times.
  • Actively participate in and contribute to all association special events.
  • Update professional knowledge through self-study, research, and conference and workshop participation.
  • Cultivates strong working relationships with the YMCA members, staff, program participants and parents.
  • Attends all required staff meetings and trainings.

SKILLS AND COMPETENCIES:

  • 3 years’ experience in general accounting functions
  • Ability to reconcile bank accounts
  • Proficiency in the following helpful, but not necessary; Access, Daxko Accounting and Daxko Operations
  • Proficiency in Microsoft Excel a must
  • Experience with some IT would be helpful
  • Ability to multitask and prioritize tasks effectively
  • Strong math aptitude
  • Strong attention to detail
  • Excellent communication & interpersonal skills
  • Be able to work independently within the framework of a team while maintaining confidentiality of sensitive information
  • Adaptable to changing directives
  • Experience working in a non-profit setting is preferred, but not mandatory
  • Ability to learn and grow within the company
