This role will collaborate on a wide-range of strategic activities; keenly anticipating issues and priorities while ensuring accountability through reporting, metrics and tracking results. You'll play an important part in maintaining an engaging company culture and cultivate successful communication across our organization. A successful candidate is someone who has high-energy, positive demeanor, strong work ethic and passion to contribute to our mission and enable our organization's growth.

What you'll do
  • Able to drive special projects for leadership from ideation to delivery, including managing schedules, removing roadblocks, and keeping processes running smoothly

  • Experience problem solving in a fast-paced, multi-disciplined, distributed-responsibility and often ambiguous environment

  • Lead key communication planning for the Executives: key outputs include messaging frameworks, comms tasks, tactical briefs, and ecosystems relating to site visits and larger organizational change

  • Oversee and track sophisticated calendar management across multiple time zones, requiring timely and thoughtful responsiveness to inquiries and requests while troubleshooting scheduling conflicts. Make judgements and recommendations to ensure smooth day-to-day engagements. Provides excellent attention to detail, follow-up and communication.

  • Experience in planning high-level meetings such as leadership offsite and corporate events through organized planning and execution, which includes vendor management & negotiation, budget tracking & coordination with presenters and guest speakers. This includes working with other Executive Assistants across the organization.

  • Partner in organizational planning including headcount, org changes and staffing. Monitor and track budget requests, expenditures and reconciliations. Prepare executive expense reports on a timely basis, and provide support for planning financial spends within the team

  • Work closely with the CRO and CCP to keep them well-informed of upcoming commitments and responsibilities. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CRO and CCO updated. Anticipate needs in advance of meetings, conferences, etc.

  • Provide a "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CRO/CCO and other staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team. Complete projects by assigning work to appropriate staff, including the Executive Team, on behalf of the CRO/CCO.

  • Ability to coordinate extensive domestic and international travel with minimal guidance

  • Handle confidential information and personnel issues with a high-degree of sensitivity

This role requires
  • Bachelor's Degree and 8 years of experience with demonstrated ability supporting Exec-level leadership in a fast paced environment

  • Natural orientation towards being proactive, solutions-focused and effective; able to collaborate with different personalities and styles while taking a positive approach to changing priorities

  • Experience and confidence communicating among executives, directors and business partners with outstanding verbal and written communication versatility

  • Experience planning and advising on projects with varying scope and business impact; may include orchestrating talent planning and staffing, annual planning, compensation planning, and key workback schedules

  • Technically savvy with expertise in G-Suite, Slack, document management, experience with Mac

  • Applies holistic-thinking when proposing fresh ideas and proactively finding opportunities for improvement

  • Experience planning for and negotiating services for events

Bonus points if you have
  • Previous experience directly supporting a CRO organization of 800 employees
