- Accountable to accuracy and timeliness of all account receivables.
- Run Daily report showing all work orders that have been marked “Work Complete”. Generate invoices daily for those work orders.
- Move completed and invoiced contracts into customer files in MaxxVault system.
- Once a month process all monthly/quarterly invoices for recurring charges.
- Process all “Special Billing” accounts within first 10 days of the month.
- Generate credit memos on an as needed basis when approved.
- Research and resolve customer issues and discrepancies.
- Call, email and contact delinquent customers.
- Update collection notes in Great Plains.
- Assist the Accounting department in taking customer payments over the phone.
- Create and manage customer and client accounts to confirm complete and accurate information.
- Create a distribute invoices via accounting software, email and letters.
- Send customers proper documents such as w-9 and ACH banking information as needed.
- Send and track Certified Letters on a weekly basis.
- Perform verifying, classifying, computing, posting and recording accounts receivable data
- Respond to and resolve clients’ billing issues ad questions
- Prepare and manage bills, invoices and bank deposits
- Reconcile the accounts receivable ledger daily, weekly, monthly
- Make sure that all payments are properly posted
- Assist in preparing financial statements
- Assist in preparing detailing accounts receivable status
- Other related duties as assigned.
- Must be reliable and extremely trustworthy.
- Must be proficient in Microsoft Office Suite or related programs.
- Must be able to learn other accounting software systems.
- Excellent organizational skills and attention to detail.
- Ability to maintain confidential and meticulous records.
- High school diploma required; Business or Accounting degree preferred.
- Prolonged periods sitting at a desk and working on a computer.
