Position Overview

Lends administrative support to the CMHOC Executive Director, Deputy Director, CMHOC Board of Directors, and management staff. Performs highly responsible sub-administrative and technical work with a high degree of confidentiality. This position requires a high degree of autonomy and the ability to perform job functions with little to no supervision.

This is a full-time benefited position working out of the Community Mental Health building in Holland, Michigan. Travel to other County locations as needed. Typical working hours are Monday-Friday 8:00am-5:00pm.

Essential Job Functions

The essential functions of this position include, but are not limited to, the following:

  • Performs a wide variety of administrative work involving knowledge of complex rules and regulations or the handling of difficult procedures with a high degree of confidentiality for the Executive Director, Deputy Director, Board of Directors, and management staff.
  • Schedules, coordinates, and arranges meetings for CMHOC Board of Directors and sub-committees; schedules meeting sites; prepares and distributes agenda and other materials; and records meeting minutes.
  • Schedules, coordinates, and arranges meetings for Executive Director and Deputy Director with management staff, community stakeholders, affiliate partners, staff and other public entities; schedules meeting sites; prepares and distributes agenda and other materials; and records meeting minutes.
  • Serves on, participates in, and/or provides assistance to various committees and groups, both internal and external as directed by the Executive Director and Deputy Director.
  • Proofreads and edits various materials for appropriate and consistent format, accuracy, and grammar.
  • Maintains complex records and files.
  • Assists Executive Director, Deputy Director and management staff in developing and creating reports, providing tables, charts, and other graphic data presentations, and formatting and editing documents. Assists staff in developing presentation and multimedia materials.
  • Coordinates the internal human resources activities including, but not limited to, onboarding of new hires, contractual providers, interns and volunteers including processing paperwork, coordinating with other departments, providing initial orientation, annual performance reviews, alternative work location agreements, and/or equipment procurement.
  • Coordinates scheduling of conferences, seminars and meetings for the Board of Directors, Executive Director, Deputy Director, and management staff.
  • Regularly interacts with other County departments, mental health agencies, and stakeholder groups to obtain or provide required information or assistance.
  • Performs other duties as assigned.

Required Education, Training and Experience

Associate degree with advanced training in specialized courses (business information systems, health and human services administration, office administration, management, or a related field) combined with five years of progressively responsible experience in office administration, preferably in a publicly funded mental health setting; or an equivalent combination of education, training, and experience.
Lived experiences with mental illness, developmental disabilities, or substance use disorders are valued.

Additional Requirements and Information

Required Knowledge and Skills:

  • Thorough working knowledge of modern office practices, procedures, and use of sophisticated equipment.
  • Thorough working knowledge of the principles and practices of community mental health administration.
  • Substantial knowledge of CMHOC departmental organization, procedures, and regulations.
  • Ability to maintain records, files, and accounts of considerable complexity and to prepare detailed reports.
  • Ability to understand and follow complex written and oral instructions.
  • Computer literacy including a thorough working knowledge of word processing, spreadsheet, database management, specific agency software, portable document format (PDF) applications software, and digital imaging systems and software.
  • Proficiency in recording and transcribing dictation and proceedings of an administrative body and executive team.
  • Ability and willingness to undertake and complete new assignments requiring initiative and adaptability.
  • Ability and willingness to learn and use new skills and take advantage of internal and external trainings and staff development opportunities and resources.
  • Substantial working knowledge of local, state, and federal health codes, statutes, rules, and regulations as they relate to the Community Mental Health system, including but not limited to the Medicaid Provider Manual, Michigan Mental Health Code, HIPAA, CARF, and Recipient Rights.
  • Good working knowledge of professional standards of practice and ethics.
  • Understanding and ability to apply the agency’s mission, vision, and value statements
  • Understanding of contract administration practices and principles
  • Understanding of quality assurance and quality control protocols and practices.
  • Excellent verbal and written communication skills
  • Excellent English language skills, including spelling, punctuation, grammar, and usage.
  • Excellent interpersonal communication skills.
Physical Requirements:
Must be able to perform essential job functions with or without reasonable accommodations, including, but not limited to, visual and/or audiological appliances and devices to increase mobility.
Working Conditions:
Work is performed in a standard office environment.
