Administrative Assistant
Lighthouse Youth & Family Services has an immediate need for an experienced & professional Administrative Assistant to provide exceptional guest experience and support staff at our Dayton, Ohio Office. This position is full-time, Monday, Wednesday, and Friday 9-5; Tuesday, Thursday 10:30-6:30, and flexibility to provide additional coverage as needed. Our ideal candidate will possess a passion to enhance the client’s experience, have a professional attitude and demonstrate high-level initiative, sound judgment and decision-making skills. Ability to interact positively with youth and families.
Functions:
Answers phone with a multi-line phone system and directs callers to the appropriate staff members. Takes messages and/or transfers calls to voicemail if intended party is unavailable.
Serves as first point of contact for all visitors to the Dayton office.
Data and entry and management for electronic health record.
Assists in the monthly billing process.
Receives, sorts and forwards incoming mail and deliveries daily. Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
Monitor visitors’ access and help maintain security awareness.
Provide administrative assistance to director and staff members.
Assists in the ordering, receiving, stocking and distribution of office/meeting supplies.
Assists with other related clerical duties such as photocopying, faxing, filing and collating as needed.
Perform other duties as assigned by the director.
Ability to work and support a team to accomplish goals.
Maintain professional boundaries and confidentiality of client information. Follow HIPAA rules and regulations.
Minimum Qualifications:
High School Diploma or equivalent is required. Associate degree preferred.
Must be 21 years of age or older.
One (1) year of professional administrative/office experience required.
Must have a professional attitude and appearance.
Must have experience working with at-risk youth.
Excellent interpersonal and written communication skills
Strong customer service orientation, planning and organizational skills.
Demonstrate strong Microsoft office skills.
