Description
Lido Advisors is seeking a dynamic and organized Office Administrator to join our team. As a vital member of our esteemed financial advisory firm based in Century City, you will play a key role in ensuring the smooth operation of our offices. The successful candidate will thrive in a fast-paced environment, exhibit exceptional professionalism, and contribute to a collaborative team atmosphere. As our Office Administrator, you will coordinate all front desk responsibilities, exemplifying a high level of customer service, office presentation and provide support to our marketing, human resources, and operations teams.
Responsibilities
· Welcome and announce visitors with courtesy and professionalism.
· Manage incoming phone calls, screening, and forwarding to the appropriate executives.
· Oversee ordering, setup, and cleanliness of conference rooms and the kitchen for client and staff meetings.
· Coordinate mail and package deliveries, ensuring efficient sorting and organization.
· Handle various clerical duties, including but not limited to filing, scanning, photocopying, and faxing.
· Assist in ad hoc projects for the Human Resources, Marketing and Operations teams.
· Manage relationships with suppliers and vendors across multiple offices.
· Maintain inventory and oversee supply orders.
· Assist with various administrative tasks to ensure the efficient functioning of the office.
· Obtain a Notary license within six months of employment and provide notarization for documents as required.
Requirements
· High school diploma or Associate’s Degree preferred.
· Notary license preferred; support will be provided to obtain the license within the first six months of employment.
· Demonstrated a high level of professionalism.
· Proficiency in Microsoft Office Suite, with a strong emphasis on Excel.
· Strong organizational skills, ability to multitask, prioritize, and work effectively under pressure.
· Resourcefulness and proactive problem-solving skills.
· Dependability, reliability and the ability to handle confidential information with discretion.
