Summary

This posting may be used to establish a list of qualified candidates for the Administrative Specialist III position in the Water and Land Resources Division over the next six months.
About the Role:
This position works closely with the Noxious Weed Control Program manager to provide specific administrative, data management, technical support and communication duties supporting the operation of the King County Noxious Weed Control Program. They will provide oversight of administrative policies, purchasing and financial management functions for the program. This involves management of complex technical information and the interpretation of established policies, procedures systems and laws. Work is performed primarily on an independent basis with limited direct supervision. Work is coordinated collaboration and streamlines with other administrative support staff in the Division performing similar duties using similar processes.
This position performs work remotely and onsite.

Job Duties

What You Will Be Doing:

  • Responsible for effective implementation of finance and accounting processes, including purchasing and processing of vendor payments, monitoring of budgets, processing of expense reports claims, and management of invoices, contracts and grants. Purchase, distribution and management of equipment required for program operations.
  • Staff liaison for the King County Noxious Weed Control Board. Provide administrative support to the King County Noxious Weed Control Board, including scheduling and preparation of meetings, briefing materials, meeting minutes and reports, and ensuring compliance with King County Boards and Commissions policies and procedures.
  • Assist as a point of contact for the Noxious Weed Program by answering the program line, receiving visitors, responding to emails sent to the program inbox, and managing the loan out of program equipment. Assist education and outreach staff at events and as an initial point of contact for the program, routing communications effectively.
  • Assist Noxious Weed Specialists prepare written communications with landowners involved in noxious weed control projects. Draft correspondence to and on the behalf of the Program Manager, Board members, and program staff Prepare and send out bulk mailings to landowners and members of the public as needed for notification and outreach on noxious weeds.

Experience, Qualifications, Knowledge, Skills

Qualifications You Bring:

  • At least three years of general office experience providing administrative, technical, clerical and customer service support functions in a fast-paced environment.
  • Ability to effectively plan, prioritize, and delegate workload on a daily basis while adapting to changes in a high-pressure fast-paced environment.
  • Ability to work and make decisions in a fast-paced team environment.
  • Experience with financial management and procurement processes and systems.
  • Demonstrated ability to communicate effectively with the public on sensitive and technical issues related to noxious weed management.
  • Ability to research topics on the Internet and other reference materials to support citizen inquiries.
  • Must be able to tactfully handle information requests and complaints from a diverse range of customers, and demonstrate diplomacy and strong customer service skills.
  • Expert knowledge and skills using Microsoft Word, Excel, and Outlook; working knowledge and experience with, PowerPoint, Teams and SharePoint.

Required Licenses: Drivers License
It Would Be Great if You Also Bring:
  • Some basic knowledge of customer relational databases eg (Salesforce) and geospatial databases (such as ArcGIS).
  • Experience with SharePoint file management, experience in website development and editing using Sitecore.
  • Strong organizational, analytical and problem-solving skills and the ability to work independently on assigned tasks.
  • Expert user in Oracle.
  • Knowledge of rules, regulations, codes, laws, policies, procedures and ordinances.
  • Currently hold or willing to obtain a "Public pest control consultant" license with WSDA.
  • Currently hold or willing to a Notary Public license.

Supplemental Information

Remote and Onsite Work Details:
Employees in this role work remotely from a home location, with onsite reporting requirements typically 3 days per week. The frequency of onsite work is determined by business needs and may be adjusted accordingly. Onsite reporting locations may be at various King County worksites including the collaboration space at King Street Center (201 S. Jackson St, Seattle, WA 98104). This work arrangement promotes work-life-balance and reduces carbon footprint under the department’s vision of Green Where We Work.
Work Schedule: This fulltime position works a 40-hour work week. This position is covered under the provisions of the Fair Labor Standards Act (FLSA) and is overtime eligible.
Union Representation: This position is represented by the Local 117 Union.
