The Finance Administrative Coordinator II position is a key role that supports five teams as well as provides executive support to the Corporate Controller to whom this position reports. The five teams manage a broad range of finance functions as well as support the research financial applications. The incumbent works independently in performing their responsibilities. Judgment is used daily in interpreting policy, representing the teams, interacting with both Fred Hutch staff and outside organizations, and working with highly sensitive or confidential information. The person occupying this role is expected to be on campus at at least three times a week.

Responsibilities

    Perform administrative duties including organization, document management and coordination of functions across various individuals and organizations; capture meeting minutes and action items
  • Represent the team to various individuals and organizations; Attend meetings on behalf of team, as necessary.
  • Gather and prepare essential documents for execution including contracts, sponsor agreements, tax returns, regulatory filings and bank documents.
  • Initiate, code and submit purchase requisitions for services, supplies, hardware, software and other goods on behalf of team.
  • Purchase equipment and supplies, obtain bids as required and perform inventory control duties; work with procurement team as required.
  • Arrange conference and meeting schedules, travel agendas and requirements, and activities as required by the team
  • Prepare, review and publish correspondence, memorandums, presentations, web content, technical materials, etc.
  • Function as a primary contact for the team; respond to external document requests; responsible for office administration
  • Verify, code and approve budget expenditures including Corporate Card activity
  • Assist with recruiting, onboarding and offboarding; Certify effort for team.
  • Establish procedures and interpret and apply administrative policies to team.
  • Ensure that policies are established within the team to protect sensitive or confidential information.
  • Support and participate on projects; perform other duties as assigned.
  • Maintain rigorous approach to process, training and communications documentation.
  • Champion Fred Hutch values through words and actions.

Qualifications

MINIMUM QUALIFICATIONS:

  • Bachelor's degree or equivalent work experience.
  • Minimum of six years of progressively complex administrative experience.
  • Strong computer skills.
  • Budget, Procurement card and purchase requisition experience.
  • Supervisory experience is not required for this particular role.

PREFERRED QUALIFICATIONS:

  • Experience within finance healthcare, research, or non-profit organizations.
  • Strong Office 365 skills.
  • Ability to communicate with individuals across different backgrounds, perspectives and positions.
  • Ability to work with high-level of independence.
  • Proficiency with or ability to adapt to a variety of productivity applications.
  • Highly organized with the ability to extend organization schemes to supported teams.
  • Washington state licensed Notary Public.
  • Comfortable working with a changing organization.
  • Ability to cultivate a wide range of relationships.
  • Skilled in navigating layered stakeholder environment.

The hourly pay range for this position is from $30.30 to $45.43 and pay offered will be based on experience and qualifications. Fred Hutchinson Cancer Center offers employees a comprehensive benefits package designed to enhance health, well-being, and financial security.
