Administrative Coordinator needed for a medical research firm in Seattle.
 
Job ID: 23646 
Pay Rate: $32 to $35 per hour 
Location: Seattle, WA
Work Arrangement: On-Site Position
Employment Type: Contract 
Schedule: Monday-Friday, 8am – 5pm 

The Administrative Coordinator provides support to the Vice President, managing calendars, handling correspondence, assisting with meetings, and overseeing special projects. This role must proactively anticipate needs, solve problems, and take ownership of tasks. Additionally, this role will collaborate with the VP’s core team, offering administrative support as required. 

Responsibilities:

  • Manage executive calendar for Vice President
  • Anticipate needs such as agendas and meeting reminders
  • Scheduling a variety of meetings, conference rooms and catering as needed
  • Resolving scheduling conflicts
  • Ensuring timely follow-up to outside meeting requests
  • Anticipate needs and ensure the VP has background information and resources needed to handle issues and to be prepared for internal/external meetings
  • Event Planning in partnership with core team members, planning and setting up team-building events and budget coordination
  • Oversee meeting schedules, invitations, conference bookings, catering, travel and expense reimbursement for a variety of events including:
  • Meetings and retreats
  • Staff recruitment, including positions postings, candidate visits and onboarding in coordination with Human Resources
  • Special events as needed
  • Reconcile monthly credit card expenses for Vice President and others as required
  • Manage time and effort reporting for Vice President’s direct line reports; serve as back-up time and effort reporting for direct line reports
  • Purchase equipment and supplies for the department, obtain estimates as required and perform inventory control duties; work with purchasing department as required
  • Build and maintain strong working relationships with faculty members, project sponsors, research administration, administrative departments (e.g., Finance, Communications) and peers
  • Serves as project liaison, representing Facilities and Campus Operations to other departments, affiliated individuals or institutions, and outside organizations as applicable
  • Lead, develop and work with team members on other projects as requested
  • Other administrative duties as assigned

Qualifications:

  • Bachelor’s degree 
  • Minimum of 3-5 years of administrative experience
  • Advanced proficiency in Microsoft Office Suite and Office 365 on various platforms; SharePoint and AEM experience desired
  • Experience in event and project management and coordination
  • Experience in meeting coordination, scheduling and planning; experience in managing executive calendars experience desired
  • Experience in project budget management
  • Solid background in planning travel, itineraries and meeting agendas
  • Ability to develop, plan and implement short- and long-range goals
  • Ability to work independently, prioritize effectively, plan ahead, problem-solve and meet goals in a deadline-driven environment
