Administrative Assistant to the Superintendent
Job Description
We are seeking an experienced Administrative Assistant to provide comprehensive support to the Superintendent. This position requires a bachelor's degree in business administration and 2 years of relevant experience. The duties of this role are highly confidential and require a broad and comprehensive knowledge of the organization's policies, procedures, and practices.
Responsibilities:
Maintain the Superintendent's calendar, anticipating needs and preferences of staff
Coordinate activities and meetings with multiple departments, the public, and outside agencies
Keep the Superintendent informed of appointments, priorities, and deadlines through multiple channels
Prepare and distribute PAC and board agenda packets and correspondence
Attend meetings, take minutes, and ensure proper distribution
Maintain confidentiality in all matters pertaining to staff, students, and parents
Serve as a liaison between the Superintendent and employees, the public, districts, SELPAs, Finance, and other outside groups
Provide general and specialized information and assistance to staff, students, and parents, requiring judgment, tact, and sensitivity
Create, track, and update various confidential documents, reports, and spreadsheets
Prepare student and staff reports as requested, in an accurate and timely manner
Attend all meetings and take meeting minutes
Enter and complete various functions on multiple software platforms used by the school
Manage all financial and confidential files, ensuring they are up to date and organized
Receive and send requested items or updates to various departments in a timely manner
Manage the Superintendent's drive and check for accuracy and completion of documents and records
Send correspondence as necessary to parents, public agencies, or other school districts
Communicate with department managers, providers, and other staff regarding deadlines, meetings, new students, updates, and other information to ensure compliance with policies and procedures
Identify, manage, and record all staff and student data in the district
Provide resources to parents and staff while maintaining confidentiality
Communicate with the Fresno County Office of Education on regarding data requests and attend meetings as needed
Cover front desk personnel as requested, answering phones, greeting visitors, and assisting with multiple tasks
Assist in the coordination and/or planning of specified events or projects as needed
Attend LCAP trainings and help prepare LCAP documentation
Receive, organize, and distribute supplies, curriculum, marketing, and business materials
Qualifications:
Bachelor's degree in Business Administration
2 years of relevant experience
Exceptional organizational and time management skills
Proficient in Microsoft Office Suite and various software platforms used by the school
Excellent communication and interpersonal skills
Ability to work independently and collaboratively, with the ability to prioritize and initiate solutions
Discretion, judgment, tact, and poise in handling highly confidential matters
There will be three (3) phases of interviews. The first phase will be a Zoom meeting, the second phase will be in person and the third phase will be a task based interview.
You must pass a fingerprint clearance to be employed at Kepler Neighborhood School.
You must submit a TB test and CPR & First Aid Certificate.
