JLL is Hiring an Administrative Assistant Near New York, NY
ESSENTIAL DUTIES and RESPONSIBILITIES include the following. Other duties may be assigned.
Acts as a gatekeeper, first point of contact and resource to the facilities management team and client.
Interacts with client and all levels of management and staff.
Performs complex clerical and administrative work, involving independent judgment and discretion, necessary to manage the workflow of all ticket management, invoice processing and certificates of insurance with an understanding of priorities/
Plan and coordinate meetings (logistics, prepare meeting materials/documents)
Prepare and submit expense reports with detail and accuracy.
Prepare and distribute presentations, reports, proposals, spreadsheets, correspondence and other documents
Create and maintain detailed real estate documents requiring high levels of accuracy
Serve as an information resource by conducting research, assembling data, and performing special projects
Maintain and update various SharePoint sites.
Provide informational assistance by directing telephone traffic and greeting clients
Provide cross-functional backup to administrative staff as needed
Participate in regular administrative staff meetings
Perform other related assignments as business may dictate
ADDITIONAL DUTIES and RESPONSIBILITIES for this role include:
Assists in the development, revision and implementation of property manuals and operating procedures.
Provides informational assistance by directing FM Help Desk telephone traffic and all general building inquires.
Provides cross-functional backup to administrative staff as needed
Participates in regular administrative staff meetings
Performs other related assignments as business may dictate
QUALIFICATIONS

A successful candidate will possess the following qualifications:
Illustrate leadership skills and interpersonal skills with his/her associates and Goldman Sachs
Possess outstanding written and oral communication skills
Applicable financial and accounting knowledge of commercial property management
Be able to strategically analyze and implement.
EDUCATION and/or EXPERIENCE
College Degree or advanced degree. Minimum of three (3) plus years of proven related management abilities within the industry.
Three (3) to five (5) plus years working within the commercial property management industry with similar requirements.
LANGUAGE SKILLS
Ability to produce well-written reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, client, customers and the general public.
