Job Summary:

We are seeking an experienced Executive Administrative Assistant to join our team. The ideal candidate will have strong organizational skills, excellent attention to detail, and the ability to handle multiple tasks simultaneously. As an Executive Administrative Assistant, you will provide high-level administrative support to our executives and ensure the smooth operation of our office.
Responsibilities:
- Coordinate and manage projects, ensuring deadlines are met and deliverables are completed
- Perform clerical duties such as answering phone calls, responding to emails, and maintaining files
- Greet visitors and direct them to the appropriate person or department
- Assist with administrative tasks including data entry, document preparation, and proofreading
- Manage executive calendars, schedule appointments, and coordinate meetings
- Prepare and distribute correspondence, memos, and reports
- Handle confidential information with discretion
- Utilize Google Suite to create documents, spreadsheets, and presentations
- Serve as a liaison between executives and internal/external stakeholders
- Arrange travel accommodations and itineraries
Experience:
- Proven experience as an Administrative Assistant or similar role
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent written and verbal communication skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Typing speed of at least 60 words per minute
- Familiarity with Google Suite (Docs, Sheets, Slides)
- Knowledge of DocuSign or similar electronic signature software is a plus
- Previous experience in project coordination is preferred
- Ability to maintain confidentiality and handle sensitive information
