The incumbent works asa Adiministrative Assistant with the Indiana Department of Health(IDOH) Food Protection Division (FPD) Rapid Response Team (RRT) andthe Produce SafetyTeam.

Purpose ofPosition / Summary :

  • Theincumbent works as a Adiministrative Assistant with the IndianaDepartment of Health (IDOH) Food Protection Division (FPD) RapidResponse Team (RRT) and the Produce Safety Team.
  • Under the supervisionof the RRT / Produce Safety Program Manager this person acts as anassistant for the manager and all team members in order to completeduties efficiently.

The incumbentwill :

  • Provide awide range of administrative assistance to two programs within theFood ProtectionDivision.
  • Act as a liaisonbetween program or department administration state agencies andotherstakeholders.
  • Provide routinepolicy interpretation and related decisions tostakeholders.
  • Research and preparevarious reports formanager.
  • Prepare and processescorrespondence and verbally communicates with the public or otheragency representatives. Directs incoming correspondence to theappropriate individual.
  • Reviews and inspectsincoming documents for accuracy completeness and to ensuredompliance with applicable federal state and local rules andregulations.

Obtains necessary approvals if needed.

  • Provides technicalguidance and composes manuals for agency personnel.
  • Coordinates clericaland administrativefunctions.
  • Other duties asassigned.

JobRequirements :

  • HighSchool Diploma orequivalent.
  • 3 years full timeexperience performing administrative support bookkeeping officemanagement or relatedexperience.
  • General knowledge ofoffice administrative functions theories andprinciples.
  • Working knowledge ofresearch techniques and reportcomposition.
  • Working knowledge offunctions of other departments and agencies and their impact on thedepartment.
  • Effective written andverbal communicationskills.
  • Attention to detailand proofreadingskills.
  • Organizational skillswith the ability to prioritize tasks effectively andmultitask
  • Ability to useMicrosoft Office Suite (Word Excel PowerPointOutlook)
  • Ability to coordinatethe work of the RRT and Produce SafetyTeams.
  • Ability to maintaincooperative workrelationships.

Difficulty ofWork :

  • This rolewill work within generally accepted management and programguidelines that may be of a repetitive nature and / or withrestricted scope.
  • These programsinvolve several variables that are interrelated.

Responsibility :

  • Theindividual will work with employees in the programs as well asother programs with the Division and with other agencies ordepartments as well as the general public to interpret programpolicy and procedures and maintian coordination of work.
  • The individual willreceive specific instructions on unusual problems and must referall deviations from the norm to the manager.

Results are reviewedfor soundness of judgement adherence to directions and technicalcompetence.

Personal WorkRelationships :

  • Theindividual will be expected to partner with agency personnel andrelated stakeholders working towards completion of assigned duties.
  • Exceptional customerservice is provided to agency partners and / or the generalpublic.

PhysicalEffort :

This roleperforms work in an environment where sitting for extended periodsof time should be expected.

WorkingConditions :

Theposition works primarily in Central Office in a standard officeenvironment.
