The Program Assistant is responsible for coordinating intake and referral activities between the Weatherization (WAP) and Heartwap Programs, and the Appliance Management Program (AMP) for both English and Spanish speaking low income applicants who are seeking conservation measures to help reduce heating costs.

• Coordinate client intake by making client appointments between Heartwap, WAP and AMP.
• Answer the phone and filed client questions for Heartwap, WAP and AMP.
• Meet with clients as they come in and help them get the appropriate services between Heartwap, WAP and AMP.
• Maintain data entry of Heartwap clients by going into the client files, updating information and enter any bills that need to be paid.
• Maintain data entry of WAP clients by reviewing the client data entered by the auditors and approving/completing the file.
• File client folders in alphabetical order.
• Confirm that licenses & insurance certifications for contractors in Heartwap, WAP and Columbia Gas of Massachusetts Sub Agency are up to date on a regular basis; follow up with contractor’s to update any documents that are set to expire
• Assist Program Director writing up heating system proposal and submitting to DHCD for approval.
• Must maintain accurate client/contractor’s files, data entry for HWAP/WAP and perform general office duties as required.
• Other duties as required based on program’s needs.

High school diploma or GED equivalent is required.

• Must have some experience in general office procedures.
• Must be people oriented, have good interpersonal and telephone manners, verbal and written communication skills.
• Must have good organizational skills and a strong attention to detail.
• Ability to communicate effectively in both English and Spanish is required.
• Must have a working knowledge of all office machines, filing systems and willingness to be trained in changing office procedures.
• Must have a suitable CORI & SORI completed within the first thirty (30) days of employment.
