Job Title: Bookkeeper/Administrative Assistant Job Description
Job Overview:
We are seeking a versatile and detail-oriented individual to fill the dual role of Bookkeeper/Administrative Assistant. This position offers an exciting opportunity to contribute to both financial and administrative functions within our organization. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to multitask effectively.
Key Responsibilities:
Bookkeeping:
· Maintain accurate and up-to-date financial records using accounting software and spreadsheets.
· Record financial transactions, including purchases, sales, receipts and payments.
· Reconcile bank statements, credit card statements, GL accounts and ensure that all transactions are properly documented and classified.
· Prepare to issue invoices to customers and track accounts receivable including assisting with collections when needed.
· Monitor cash flow and prepare cash flow statements.
· Assist with the preparation of financial reports, including monthly, quarterly and annual financial statements.
· Prepare and file necessary tax forms, including sales tax returns and payroll tax filings.
· Prepare and issue weekly payroll.
· Work closely with the executive management team to improve processes and procedures.
Administrative Assistant:
· Recruitment and Onboarding: Oversee the recruitment process, including job postings, candidate screening, and interviewing. Facilitate the onboarding process for new hires, including paperwork, orientation and training.
· Employee Relations: Serve as a point of contact for employees regarding HR-Related inquiries, providing guidance and support as needed. Implement and enforce company policies and procedures to ensure a fair and productive work environment.
· Compliance Management: Ensure compliance with permitting requirements for business operations, construction projects, and other activities as necessary.
· Insurance and Benefit Administration: Overseeing employee benefit programs such as health insurance, retirement plans and other perks. Assisting employees with benefit inquiries and enrollment. Ensure compliance with policy requirements.
· Record Keeping and Documentation: Maintain accurate and up-to-date records and documentation related to HR, compliance and procedural matters.
Requirements:
∙ High School Diploma or equivalent.
∙ Proven experience as a Bookkeeper or similar role.
∙ Work experience preferably in a small company setting.
∙ Proficiency in accounting software, such as QuickBooks, Xero, or FreshBooks
∙ Strong understanding of basic accounting principles.
∙ Ability to effectively communicate both in writing and verbally.
∙ Skilled at using computer systems, including Microsoft Office Suite.
∙ Capable of multitasking, prioritizing tasks, and managing time effectively.
∙ Detail-oriented with strong organizational and problem-solving abilities.
∙ Ability to work independently in a fast-paced environment.
Physical Demands:
∙ While performing the duties of this job, the employee is regularly required to talk or hear.
∙ The employee frequently is required to stand; walk; use hands and fingers to answer phones and type on computer.
∙ The employee is occasionally required to sit, kneel or crouch.
∙ The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.

Pay: $21,000.00 - $65,000.00 per year
