Part-time Administrative Assistant II– School of Dentistry Research

 

Position Summary

The Administrative Assistant II position will support the Associate Dean for Research in for the School of Dentistry. They will perform complex, advanced, diversified, and confidential administrative duties at the function level with or without directions. Customer service skills are required, as well as the ability to assess inquiries and provide appropriate information, coordinate and prioritize work, and schedule meetings and appointments. May also perform routine clerical and administrative functions as needed.

 

This is a grant funded; Part-time- 20 hour per week; Monday-Friday; day work schedule.This is a benefit eligible position.

 

Education & Experience:

  • High School Diploma

  • Four (4) years of related work experience

  • Bachelor’s degree preferred

 

Essential Functions:

  • Manage certain research projects assigned by the Dean for Research, providing administrative support to the research faculty, and managing effective systems and protocols within the office of research.

  • Use computers for various applications, such as database management or word processing, to create, maintain, and enter department/ personnel information

  • Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.

  • Greet visitors or callers, handle their inquiries, or direct them to the appropriate persons according to their needs.

  • Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material.

  

Knowledge, Skills, and Abilities

  • Medical office experience – experience in a finance departmentor equivalent education in a related field of study preferred.
  • Excellent organizational skills.
  • A foundational understanding of health care research with a willingness to learn new practices.
  • Ability to work independently but committed to the team function with minimal supervision.
  • Possess high attention to detail and organizational skills; the ability to establish and maintain an appropriate filing system for retrieving needed information.
  • Ability to build rapport with diverse populations and backgrounds.
  • Ability to effectively relate to healthcare providers, patients, faculty, and students and to work as a "team" member of the research office staff.
  • Ability to create innovative ideas and implement new ideas or processes.
  • High comfort level with computer programs, word processing, data management, medical charts, or willingness to learn.
  • Knowledge of administrative and office procedures and systems such as word processing, managing files, records and transcription, designing forms, and workplace terminology.
  •  Demonstrate strong written communication, verbal presentation, and public speaking skills
  • Talking to others to convey information effectively.
  • Communicating effectively in writing as appropriate for the needs of the audience.
  •  Monitoring/Assessing performance of yourself, other individuals, or organizations to make improvements or take corrective action.
  •  Identify complex problems and review related information to develop and evaluate options and implement solutions.
  •  Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
