GAP Solutions, Inc. is Hiring a Project Manager (NIH) Near Bethesda, MD

Provide services as a Project Manager (NIH) in support of the overall functions of the Director of Intramural Research (DIR), Laboratory of Host Immunity and Microbiome (LHIM) within the National Institute of Allergy and Infectious Diseases (NIAID).

Duties and Responsibilities:

  • Provide expertise needed to coordinate, improve, and oversee the overall functioning of the program.
  • Schedule and maintain an accurate tracking system for all research and daily activities.
  • Research and implement current regulations, policies and procedures, and update lab staff on relevant information.
  • Arrange scientific conferences/meetings and contacts attending professionals; makes travel arrangements as needed.
  • Maintain and track schedules and calendars, update databases spreadsheets
  • Create reports for Senior Staff, and keep them updated.
  • Prepare routine and advanced correspondence including letters, memoranda, and reports
  • Maintain inventory and initiates purchase requests.
  • Prepare new appointment and renewal packages for Intramural Research Training Award (IRTA) and Visiting Fellows.
  • Prepare new appointment and extension packages for Title 42 employees to include Research Fellows and Staff Scientists
  • Serve as timekeeper for the lab.
  • Prepare authorizations and vouchers for travel performed at senior-level management and by members of the lab.
  • Coordinate with foreign embassy officials regarding passports and visas and tracking of defense travel briefings for travel purposes/arrangements.
  • Regularly engage with senior-level leadership and teams to contribute to the overall direction of the Laboratory.
  • Ensure senior-level management within the organization is informed about the overall program status, including relevant projects and their potential impact on the higher-level organizational strategic vision.
  • Provide recommendations on the development of procedures and instructions for training and on-going workflow pertaining to administrative functions related to travel procedures, onboarding and offboarding staff, and managerial activities by maintaining fellowship payments, clearances, and publications following the NIH wide and NIAID policies.
  • Work with program and Finance teams to maintain systems for salary allocations to grants and update salary allocation tracker regularly.
  • In collaboration with Human Resource department, and relevant program lead(s), assist and serve as main point of contact for recruitment and hiring workflow of new staff.
  • Work alongside with Human Resources and IT to manage staff workspace needs, making adjustments as needed.
  • Oversee monthly credit card reconciliation submissions with senior-level management.

Basic Qualifications:

  • Bachelor’s degree in a related discipline. Four (4) years of specialized experience plus a High School diploma is equivalent to a BA/BS degree.
  • Minimum of eight (8) years of experience in a related field is required.
  • Experience working in a laboratory setting.
  • Expertise with Microsoft Office (Word, Excel, etc.).
  • Knowledge of Federal Regulations and hiring processes.

Minimum Qualifications:

  • Ability to communicate effectively, orally and in writing, with non-technical and technical staff.
  • Detail-oriented and possess strong organizational skills with the ability to prioritize multiple tasks and projects
