ASSISTANT PROPERTY MANAGER

GMO Properties LLC is seeking a part-time Assistant Property Manager who is highly motivated, organized, and excited about a career in real estate. You will learn all aspects of property management and how to be a savvy real estate investor. Our entrepreneurship team has nearly 30 years of experience as a real estate professional.

This role requires fluent bilingual (English and Spanish) communication. Attention to detail is important to handle all aspects of the real estate business. The Assistant Property Manager demonstrates an on-time, focused mindset, and is highly concerned with completing the daily tasks efficiently. The APM possesses a positive, customer service personality when interacting with residents, vendors, and clients. The APM understands urgency and can prioritize responsibilities with minimal supervision. The Assistant Property Manager is committed to delivering first-class service while supporting the business in greater success.

A DAY IN THE LIFE OF AN ASSISTANT PROPERTY MANAGER

As an Assistant Property Manager, you assist in managing all aspects of a property’s residential and commercial occupancy and maintenance. You handle the entire move-in and move-out process.

Your hospitality and customer service skills are essential as you address and resolve questions, concerns, and complaints promptly. You find great satisfaction in knowing that you are the engine that drives profitability and satisfaction.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Serve as the receptionist, answer telephone, take messages, and greet residents, clients, and guests.
  • Serve as the concierge for commercial clients.
  • Handle resident and vendor relations. Work as the liaison between maintenance and residents; schedule appointments and contact vendors.
  • Handle all tenant-related inquiries (maintenance, concerns, complaints, emergencies, etc.)
  • Turn on utilities during a move-out. Turn off utilities during a move-in.
  • Accept rents and other fees; document them in Buildium property management software
  • Prepare lease packets during the move-in process.
  • Prepare lease renewal offers; email and mail them via USPS to the residents.
  • Process rental applications. Collect supporting documents and send acceptance or rejection notices.
  • Process and submit RTA packets from the Chicago Housing Authority.
  • Process subsidizing housing voucher packets and communicate with the organizations.
  • Communicate via phone and email with the Chicago Housing Authority as needed to resolve inquiries.
  • Activate listings within Buildium
  • Activate listings within the Tenant Turner platform.
  • Schedule listing photos with the photographer and videographer.
  • Manage and maintain the showing database – Tenant Turner.
  • Submit rent increases to the CHA and follow up throughout the process.
  • Submit concerns, inquiries, or complaints to the CHA; obtain a support ticket.
  • Submit requests for improvements on public areas surrounding the properties through the City of Chicago website.
  • Prepare move-out inspection documents; mail certified notices as needed by visiting the post office.
  • Monitor turnover of units and report the data analysis.
  • Oversee the Buildium property management software daily.
  • Issue appropriate notices: late fees, NSF, eviction notices, returned check memos, etc.
  • Serve notices: 5-days, 10-days, 30-days, 60-days, 120-days.
  • Understand and ensure adherence to all Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and other laws related to housing.
  • Assist in all aspects of construction projects (meetings, placing orders for material, etc.)
  • Assist in email, direct mail, and digital marketing campaign efforts.
  • Compose emails and letters; respond accordingly.
  • Create various reports via Buildium property management software as needed.
  • Manage the office space, including ordering supplies and ensuring the space is clean and presentable.
  • Maintain integrity, tact, sensitivity, and confidentiality personally and among the entire company concerning sensitive and confidential information.
  • Attend property management webinars, live training, or conferences.
  • Attend CHA webinars, live training, or conferences.
  • Serve as the host (onsite and remotely) for the entertainment space.
  • Assist with industry events and event planning.
  • Serve as the liaison for inquiries related to the commercial offices.
  • Prepare commercial lease packets during the move-in process.
  • Prepare commercial lease renewal offers, and email them to the clients.
  • Assist with other duties as needed.

QUALIFICATIONS

· Minimum one year experience in real estate property management activities

· Proficient in Microsoft Word, Microsoft Excel, Microsoft Outlook, Google Apps, Gmail, and Gmail Calendar

· Experience in Buildium property management software is preferred

· Experience with working with the Chicago Housing Authority is a plus

· Excellent organizational skills to work independently and manage projects with many moving parts

· Strong attention to detail and scheduling skills

· Effective communication and grammar skills (written/virtual/oral)

· Must be familiar with the Chicago neighborhoods

· Experience in DocuSign is a plus

· Must be fluent in Spanish
