Description
Position Summary
Fisk University is seeking to hire a full-time administrative support specialist to work in the School of Humanities and Behavioral Social Sciences. The position entails working directly under the auspices of the Dean of the SHCSS. The Administrative Support Specialist will provide support to the Dean of the School of Humanities and Behavioral Social Sciences, such as taking calls, scheduling meetings, managing e requests, and other office duties. The person may also oversee office functions and supervise student workers. This position requires someone who has excellent verbal communication skills, good judgement, and strong time management skills in order to meet deadlines.
Qualifications
Primary Duties and Responsibilities:
Qualifications:
  • Active participation in office management, including handling general clerical tasks.
  • Organize and prepare meeting schedules for the Dean.
  • Ensure meeting spaces are properly requisitioned ahead of schedule.
  • Manage office equipment and supplies, and ordering new equipment and supplies as needed.
  • Work collaboratively with other departments within the school to help solve clerical issues.
  • Manage the School's budget to provide invoices, payments, and receipts.
  • Confer with human resources department to provide assistance with payroll, personnel databases and other duties.
  • Answering phones calls and taking messages
  • Welcoming all visitors and interacting with them
  • Managing scheduling and appointments
  • Arranging meetings and other disciplines/departments
  • Managing mail/fax communications
  • Getting the departments mail from the post office and placing in the faculty mailbox in our mail room.
  • Managing traditional paper and/or electronic filing systems
  • Performing basic bookkeeping/clerical duties
  • Working with the Building Manager of spaces for events, faculty offices and classroom space
  • Other duties as assigned by the Dean of the School of Humanities and Behavioral Social Sciences.
Education:
  • A high school diploma or a college degree recommended.
  • A minimum of 3 years of experience working in a secondary or at the college level recommended but not required.
Licenses or Certificates: None required.
Additional Requirements: A background and/or credit check will be required of the successful applicant. In addition to submitting a cover letter, candidates must submit a current resume. Candidates must have a high school transcript, or a college unofficial transcript submitted to HR. An official transcript (if applicable) and names, addresses and phone numbers of three (3) references will be required of the successful applicant.
Physical Demands
While performing the duties of this job, the employee is frequently required to stand; walk; sit; use hands to handle or feel; reach with hands and arms; talk and hear. The employee may regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
Environmental Conditions:
Working conditions - Work is normally performed in a typical interior work environment that does not subject the employee to any unpleasant elements.
  • Physical Effort - The position is physically comfortable; the individual has discretion about walking, standing, etc.
  • Physical Risk - The work environment involves minimal exposure to physical risk.
