Responsibilities

Under the direction of the HR Manager, the HR Administrative Assistant will provide support to the Human Resources department by working on a variety of HR projects to expand knowledge and experience in various aspects of this discipline.

To perform this job successfully, an individual must satisfactorily perform each essential duty. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential duties.

  • Maintain and monitor HR inbox.
  • Assist with general employee inquires.
  • Ensure completion of new hire paperwork and create employee records.
  • Assist with College Relations program.
  • Create and maintain employee profiles on company intranet.
  • Create and maintain agency, manager and temporary employee profiles on the company’s time keeping system for temporary staff.
  • Maintain company organizational chart.
  • Create and distribute the company monthly newsletter.
  • Create and distribute employee ID badges.
  • Assist with organizing employee appreciation activities and community outreach events at corporate office as well as field operation sites, including but not limited to, research of activities, placing orders and picking up supplies locally.
  • Create and distribute companywide HR announcements.
  • Maintain employee records, including all filing and organization of filing system.
  • Update employee files to document personnel actions.
  • Prepare outgoing mail and correspondence, including email and faxes.
  • Compose and type routine correspondence.
  • Maintain communication and good working relationship with employees and outside vendors.
  • Regular attendance required.
  • Comply with company C-TPAT and TSA security procedures.
  • Perform other duties as assigned.

Qualifications

Associates degree or equivalent from two year college or technical school; plus three (3) years administrative support and/or human resources experience, required. However, a combination of experience and/or education will be taken into consideration. 

Position functions semi-autonomously and has no direct reports.

Periodic travel up to 10% required.

  • Demonstrated proficiency with Microsoft Office (especially Word and Excel)
  • The successful candidate will possess a strong attention to detail and accuracy as well as excellent organizational skills.
  • Self-starter who is able to prioritize effectively and handle multiple tasks in a deadline driven environment
  • Strong written and oral communication skills required.
  • The qualified candidate will have a demonstrated ability to use diplomacy and tact.
  • Strong analytical ability and identify opportunities for continuous process improvements.
  • Ability to work independently and identify creative solutions.
  • Ability to read and interpret general business documents.
  • Ability to write routine reports and general business correspondence. Ability to work with peers and communicate basic concepts.
  • Ability to solve practical problems through standardized solutions that require limited judgment.
  • Ability to follow prescribed and detailed procedures to solve routine problems.Must pass a pre-employment drug screen, random drug and/or alcohol tests, and will be subject to a criminal history background check.
