ELITE is Hiring an Administrative Assistant - Healthcare (Bilingual) Near Palm Springs, CA

Job Purpose Provide high-level administrative support for the administrative and medical education department. The primary goal is to ensure the smooth and efficient operation of the department's activities and initiatives related to medical education and administration.Work Activities• Calendar management: Managing and coordinating interviews, scheduling meetings, appointments, and travel arrangements for recruitment site visits.• Meeting coordination: Organizing and coordinating meetings, including preparing agendas, taking minutes, and distributing meeting materials. Attend all applicable training and/or conference calls.• Communication management: Handling incoming and outgoing communications on behalf of the executive, including phone calls, emails, and correspondence.• Document preparation: Drafting, editing, and formatting various documents such as reports, presentations, memos, and correspondence. Prepare, print, and send material for weekly didactic activities.• Project coordination: Assisting with the coordination and management of projects, including tracking progress, organizing resources, and ensuring deadlines are met.• Information management: Organizing and maintaining confidential and sensitive information, including files, records, and databases. Maintain and distribute site schedules to all applicable sites, providers, and administrative staff.• Relationship management: Building and maintaining relationships with internal and external stakeholders, including hospital departments.• Travel arrangements: Making travel arrangements, including booking flights, accommodations, transportation, and preparing travel itineraries.• Event planning: Assisting with the planning and coordinating company events, and conferences.• Research and analysis: Conducting research and analysis on various topics, compiling data, and preparing reports or presentations. Assist in the maintenance of all medical education records (binders, didactic documentation, rotating resident credentials, evaluations, etc.)• Budget management: Assisting with budget preparation and monitoring, including tracking office supplies and snacks expenses.• Team coordination: Collaborating with other administrative staff and providing support to the medical education and administration departments. Assist in onboarding rotating residents on the service. Track Resident rotations and report to the appropriate department to add to billing tablespace.• Problem-solving: Identifying and resolving administrative issues and challenges, and proactively finding solutions to improve efficiency and effectiveness.• Confidentiality and discretion: Maintaining high confidentiality and discretion when handling sensitive information and matters.• Serves as liaison between hospital departments and practice.Work Content Lifts Weight or Exerts Force Work EnvironmentEmployee may occasionally lift up to 20 poundsEducationBachelor’s degree or equivalent combination of education and experienceSkills • Proficiency in Microsoft Office Suite: This includes skills in using Word for document creation and formatting, Excel for data entry and analysis, and PowerPoint for creating presentations.• Bilingual in Spanish 
• Email and calendar management: Effectively use email platforms such as Microsoft Outlook to send and receive emails, schedule meetings, and manage calendars is essential.
• File management: Organizing and managing files and folders on a computer is important for easy access and retrieval of documents.• Data entry and database management: Accurately entering data into spreadsheets or databases and effectively managing and updating databases is crucial for maintaining organized records.• Internet research: The ability to conduct online research to gather information or find resources is important for various administrative tasks.• Typing and keyboarding skills: The ability to type quickly and accurately is essential for efficiently completing tasks such as typing documents, emails, or data entry.• Basic troubleshooting: Basic troubleshooting skills to resolve common computer issues such as software glitches, internet connectivity problems, or printer malfunctions is beneficial.• Collaboration tools: Familiarity with collaboration tools such as Microsoft Teams or Slack for communication and file sharing is becoming increasingly important in today's digital workplace.• Document formatting and editing: Knowing how to format and edit documents using features such as headers, footers, tables, and track changes is necessary for creating professional-looking documents.
