Duquesne University is Hiring an Administrative Assistant – Thomas R. Kline School of Law Near Pittsburgh, PA

This Administrative Assistant serves as the receptionist for the Thomas R. Kline School of Law, provides administrative support for faculty and staff, and assists with law school programming. The Administrative Assistant supports the Admissions office and serves as the front facing contact for the school on campus and in the community.


DUTIES AND RESPONSIBILITIES:

Welcomes and greets all visitors, guests, students, faculty, and staff to the Law School and directs them to the proper department.

Prioritize and maintain front desk coverage during law school business hours.

Answers multiple phone lines and transfer calls to the proper department, and/or takes messages.

Maintains main office voicemail and updates message when appropriate.

Receives and responds to the law school email account.

Sorts and directs delivery of incoming mail; generates USPS and UPS mailings as needed.

Keeps current on law school events and addresses inquiries.

Supports Admissions office activities including, greeting and checking-in visitors and student ambassadors, and assisting with events.

Oversees main office equipment and supplies.

Assists faculty, staff, and adjunct faculty as needed.

Serves as liaison between the law school and other campus offices, including Facilities, Campus Police, Mailing Services, etc.

Assists with law school and departmental events, including Graduation, Orientation, Admitted Students’ Day, and alumni events among others.

Provides drop-off location for students/faculty/staff dropping off or picking up packages, exams, clothing, and other items, and maintains Lost & Found for the law school.

Completes other duties as assigned.


REQUIREMENTS:

Minimum qualifications:

One year experience in a customer service or public-facing role.

One year experience in an office environment, prioritizing tasks and managing conflicting demands.

Experience with Microsoft Office and Outlook, along with the ability to learn job specific applications and systems.

Strong organizational and problem-solving skills.

Strong communication skills and basic knowledge of office equipment.

Preferred qualifications:

Alternately, the successful candidate may possess any equivalent combination of experience and training, which provides the knowledge, skills and abilities required to perform the essential job functions. This includes, but is not limited to, the following:

Excellent customer service skills, the ability to take initiative, work independently and be part of a team.

Strong problem- solving skills and the ability to manage and address both common day-to-day issues, and unforeseen circumstances that may arise.

Experience working in higher education is helpful, but not required.

Demonstrated experience with, and understanding of, the broad diversity of the University community (students, faculty, staff and others).
