Position Overview

Core Spaces is seeking an organized executive assistant to support several executives as needed. The role will provide a wide range of administrative and office support and will be a full-time, salaried position with benefits. The ideal individual should exercise good judgment and possess strong written and verbal communication, administrative, organizational and time management skills. The Executive Assistant should be able to work independently and manage sensitive matters with a high level of confidentiality and discretion.

What You Will Do

  • Provide executive and personal support to executives as requested
  • Streamline days and manage time with incredible efficiency and prioritize essential commitments and responsibilities in a dynamic environment
  • Maintain an accurate and up-to-date calendar and manage regular and unplanned commitments
  • Coordinate internal and external meetings and events, including logistical details, communication, material preparation & distribution, and follow-up
  • Act as a bridge for communication internally and externally; communicate effectively on the executive’s behalf
  • Screen correspondence as necessary by reading, researching, collecting, prioritizing, and routing information with urgency and a high level of professionalism
  • Arrange travel, including creating agendas, managing accommodations and addressing other logistical requirements
  • Handle highly sensitive and confidential information while exercising professionalism and discretion
  • Organize and prepare expense reports and submit invoices as necessary
  • Perform special projects from inception through completion
  • Manage other miscellaneous administrative activities including but not limited to notarizing documents, coordinating technology and equipment needs, organizing files, and handling mail/packages
  • Occasional travel may be necessary as needed
  • Perform all other duties and tasks as assigned by management
  • Must be able to complete all physical requirements of this role with or without a reasonable accommodation

Ideally, you'll have

  • A minimum of five (5) years of experience in a high-level administrative support environment
  • Strong written, organizational and communication skills are required, along with experience in Microsoft Suite
  • Professional interpersonal skills are required, as well as the ability to interact effectively with employees at all levels of the organization and third parties
  • Excellent judgment, attention to detail, intuitive interpersonal skills, and problem-solving abilities
  • Exceptional computer, presentation, and communication skills, both written and verbal
  • Outstanding time management and organizational skills with an ability to multitask, prioritize work, manage multiple deadlines, and track deliverables in a fast-paced environment
  • Extraordinary ability to maintain a high degree of confidentiality and sense of urgency
  • Strong ethics and integrity

  • Previous executive assistance experience within the Real Estate industry
  • Being a high-energy team player who is a self-starter and can work proactively
