Opportunity International is Hiring an Executive Assistant Near Chicago, IL

The Executive Assistant provides advanced executive support in a high impact, high value environment. The role reports to the Executive Vice President, International Programs and Capital Solutions and supports three other senior members of the International Programs business unit. Possessing a thorough knowledge of Opportunity's organizational structure and programs, the Executive Assistant serves as a liaison to leadership, organizes and coordinates executive outreach, internal and external relations.
RESPONSIBILITIES include the following. Other duties may be assigned.
  • Complete a broad variety of administrative tasks for the four team members, including managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging travel plans, itineraries, and meeting agendas; and compiling documents for meetings.
  • Project manage the annual budget development for four departments, including facilitating conversations with the four senior members of the International Programs team, compile historical data and work closely with finance personnel to resolve issues and incorporate adjustments.
  • Research and maintain a calendar of relevant conferences that align with the International Program team's objectives.
  • Collaborate with the EVP and team members to prioritize conference sponsorship and attendance, considering budget constraints and scheduling conflicts.
  • Coordinate with the Vice President of Communications to find associated press opportunities.
  • Plan two annual International Programs team meetings for the ten-person department in Chicago and Washington, DC, which includes creating agenda, arranging logistics, ordering catering, and booking hotel reservations.
  • Own and update the meeting notes and revenue report from a bi-weekly International Programs team meeting.
  • Maintain strong communication among the International Programs team and other internal departments, building relationships throughout the organization.
  • Liaise with internal team members and external stakeholders to schedule meetings and distribute relevant meeting materials on behalf of the International Programs team.
QUALIFICATIONS
  • Bachelor's degree
  • At least 3 years of experience supporting executives as an Executive Assistant.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Demonstrated record of exceptional standards, including attention to deadlines, budgets, and quality of work.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.
  • Excellent written and verbal communication skills with the ability to effectively relate across all levels of the organization and in a global environment demonstrating cultural awareness and sensitivity.
  • High level of skill in Word, PowerPoint, and Excel.
  • Highly resourceful & proactive team-player, with the ability act independently.
  • An understanding of and a commitment to advancing the mission and values of Opportunity International.
LANGUAGE SKILLS
  • Written and oral fluency in English is required.
TRAVEL REQUIREMENTS
  • Ability to travel up to 5% domestically for meetings and conferences.
