Job Overview:
We are seeking to hire someone with administrative / office experience to work for an office in a HUD subsidized building.
We are offering paid training to become a HUD Certified Occupancy Specialist:
We will invest in you through a thorough training process that will allow the ideal candidate to use their administrative skills and obtain success in the subsidized multi-family industry.
The ideal candidate will provide exceptional administrative support, communication skills, and high quality tenant relations.
Responsibilities (upon training completion):
- Maintain tenant files to HUD standards by conducting annual and interim recertifications
- Audit tenant incomes through EIV system, update master file, and reconcile as necessary
- Maintain and grow apartment waitlist
- Show, accept applications, sign leases, and conduct move-ins for vacant units
- Accept and deposit rental payments
- Document maintenance requests
- Manage calendars, schedule appointments, and coordinate meetings
- Greet and assist visitors in a professional manner
- Answer and direct phone calls using multi-line phone systems
- Perform general office duties such as filing, copying, and data entry
- Provide administrative support to staff as needed
- Assist with proofreading documents for accuracy
- Handle customer inquiries and provide excellent customer support
Skills:
The ideal candidate should possess the following skills:
- Experience in calendar management and office administration
- Previous property management experience is a plus
- Strong customer service skills with the ability to interact professionally with clients
- Proficient in proofreading and attention to detail
- Familiarity with phone systems and handling multiple lines
- Ability to assist as a personal assistant when needed
- Computer literacy with proficiency in MS Office Suite
An honest hard-working work ethic is required.
