Job SummaryPosition Title: Executive Administrator
Program: Administration
Classification: Permanent/Full-Time/Salary
DUTIES AND RESPONSIBITIESAdministrative SupportProvide comprehensive administrative support to the CEO, including calendar management, scheduling appointments, coordinating meetings and managing email, responding to inquiries and flagging urgent messages
Prepare agendas, materials and presentations for meetings ensuring accuracy and timeliness
Prioritize and manage multiple tasks simultaneously, proactively identifying potential conflicts and proposing solutions
Conduct research and compile information as requested to support decision-making process
Maintain confidential files and records
Process expense reports, invoices and purchasing
Ability to lead and support senior leadership with special projects and events
Serve on organization committees
Board ManagementOrganize and maintain electronic board management systems
Assist in the preparation and distribution of board materials, meeting minutes and other governance related documents
Development Support Provide exemplary donor stewardship including gift acknowledgement and donor statements
Conduct research and run donor reports as requested
Schedule donor meetings for development team as requested.
Maintain a library of donor letters, editing often to ensure timely content; Record gifts and maintain accurate records in donor database (Bloomerang).
Education/Experience Requirements
  • Associate or bachelor’s degree in organizational management or comparable field preferred.
  • 5 years of related experience required in working in an executive assistant role supporting C-Level executives.
  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Ability to communicate effectively and professionally.
  • Flexible hours as dictated by the needs of business for projects and meetings.
  • Solid knowledge of principles and practices of human resources including familiarity with state and
