Office Services Assistant

The responsibilities are diverse and may include but are not limited to:

  • Processing the NY Office daily check deposits.
  • Coordinating meetings and events, including sending communications to confirm logistics with the rest of the Administrative Services team.
  • Requesting and activating new access cards. Deactivating access cards for departing employees and troubleshooting access card issues.
  • Reviewing conference room calendars throughout the day for meetings, set-ups, etc. Coordinating upkeep of conference rooms to coincide with schedule and usage. Working in unison with the Receptionist and Administrative Services and online Outlook conference room calendar.
  • Completing onboarding tasks such as disseminating Office Services welcome letters, entering new hires into security, providing access cards, and setting up new hire Seamless accounts.
  • Troubleshooting Seamless account issues. Modifying, creating, and deleting Seamless accounts for NYO employees.
  • Entering work orders into the building security system.
  • Relaying office maintenance issues to Administrative Services, as needed.
  • Monitoring the NY Office Services email and responding to questions/requests for service.
  • Maintaining daily communication with the team via email, phone, and face-to-face contact. Reading and responding to all emails in a timely manner and follow up as needed.
  • Responding to colleague and client requests for assistance with catering orders. Placing catering requests through Seamless for all meetings, as requested. Picking up deliveries/escort vendors for set-up. When requested setting up water, drinks, coffee, food, etc. for meetings. Following meeting conclusion removing all catering and return room to clean/organized condition for next meeting.
  • Providing support to coordinate and execute office celebrations and office events.
  • Assisting the EA team with creating, transcribing, editing, proofreading, and formatting client presentations, marketing and business development proposals, Engagement Letters, and general correspondence.
  • Quality Control and E-file processing (assistance during busy season)
  • Assisting with processing all employee expense reports, including analyzing time and expenses and helping to enforce company policies.
  • Assisting with Learning and Development events by scheduling meeting space and managing attendance.
  • Coding invoices in Palette for payment processes to Finance.
  • Assisting with data entry projects.
  • Accepting/directing deliveries of food and packages.
  • Assisting the Office Services department with special requests.
  • Acting as back-up for the Receptionist
  • Providing general administrative support for on-going projects and other essential tasks, as needed.


Required Skills:

  • Minimum 4 years in administrative support work, office practices and administrative procedures
  • Mailroom management experience a plus
  • Event planning experience a plus
  • Highly motivated with excellent organizational and interpersonal skills
  • Intermediate to advanced knowledge of MS Office – especially, Word, Excel, and Outlook
  • Tech savvy with the ability and desire to embrace necessary software applications to learn new computer programs
  • Strong written and verbal communication skills
  • Knowledgeable of business grammar and basic proofreading skills
  • Professional demeanor and appearance necessary at all times
  • Demonstrated client focus experience interacting with senior level executives
  • Superior organizational and follow-through skills with strong attention given to details and deadlines
  • Ability to operate with a sense of urgency
  • Ability to work independently with limited supervision as well as work cooperatively with all levels of management and employees
  • Proven ability to work in a high-volume, fast-paced, deadline driven environment and handle multiple projects while prioritizing, planning, and organizing projects simultaneously
  • Flexibility to change direction frequently between tasks and between different clients
  • Capability to work in a fast-paced environment and meet deadlines
