turnerconstruction is Hiring an AS Office Services Hospitality Near New York, NY

Position Description: Provide concierge level of service and support flexible workspace operations to maintain a comfortable office environment for employees and visitors. Anticipate workplace environment operational needs and provide proactive support for local leadership. Work in collaboration with the Office Services Maintenance and other Administrative Services team members to support reservation online system, inventory control, and meetings and special events.

Essential Duties & Key Responsibilities:

  • Provide excellent customer experience and prompt responses to requests for office hospitality support.
  • Review weekly events and daily conference room reservation schedules using online reservation system, coordinate with Office Services Maintenance to plan activities and services.
  • Validate and process catering requests for events and meetings and place food orders for individuals, groups, and meetings as requested.
  • Provide service to scheduled meetings, deliver and set up catering to ensure readily available food, beverages, and supplies.
  • Provide hospitality services to ensure efficient operations of conference rooms, cafes, kitchens, and executive lounge. Order food and beverages per WELL requirements, maintain well-organized office pantries, support cleaning schedule for daily operations, and prepare brewed coffee for meetings based on daily event/meeting schedule.
  • Maintain office/kitchen supplies for conference rooms, cafes, kitchens, and executive lounge and submit supply order for purchase approval to Office Manager.
  • Provide regular communication, status updates, and timely escalation of issues related to hospitality operations to Office Manager.
  • Provide support to Office Assistant Maintenance to clean and service rooms in between meetings and during meeting breaks. Ensure cleanliness and preparation of meeting rooms ahead of scheduled meetings/events.
  • Assist with promotions, pop-up and special events, and services with Zo concierge services, as requested.
  • Understand service level agreements with vendors and service technicians for related office services and equipment repairs and servicing and engage with Office Manager and/or Information Systems (IS) team for office related technology support.
  • Contribute to development of Standard Operating Procedures (SOP) for role and innovative ideas to improve systems, processes, and service quality.
  • Embrace company culture, values, and Diversity, Equity, & Inclusion (DE&I) activities.
  • Assist in supervision of Offices Services staff and assist with new staff orientation/onboarding as requested.
  • Provide team support and relief of others' job duties during times of need (e.g., lunch, breaks, illness, vacation).
  • Other activities, duties, and responsibilities as needed.
