REPORTS TO

General Manager

CLASS SUMMARY

This position is responsible for providing administrative and clerical services of a complex nature for the General Manager and the Board of Trustees which is directly related to the management and general business operations of GPMTD. Providing these services in an effective and efficient manner will ensure that GPMTD's operations are maintained in an effective and efficient manner. Has access or knowledge of critical GPMTD confidential strategies and/or critical management decisions. Acts as Office Administrator by making sure the critical front office area is covered at all times and with that knowledge coordinates with other departments the need for coverage.


Maintain, organize and dispose of all public records and files for the District according to the rules of the state of Illinois

Assist in arranging for ADA committee meetings, PDC committee meetings and transcribing minutes from these meetings; assist General Manager and AGM of Maintenance with projects;

Coordinates all aspects of travel for all GPMTD employees on official business to include hotel accommodations, flights and automobile rental, by researching economical and efficient options by exercising independent judgment and discretion.

Provides administrative support to Board of Trustees to include: research and assist with the preparation of agenda, policies and procedures; respond to all Board inquiries about GPMTD; prepare agenda and packages for Board Meetings; attend Board Meetings, record and transcribe minutes and submit for approval; review and edit reports to the Board; acts as a confidant/liaison for the Board of Trustees using discretion and judgment regarding conversations with Board members regarding the operations of GPMTD

Coordinates all Board travel and reimbursement requests; and serves as the GPMTD facilitator responsible for compliance with the Open Meetings Act and FOIA requests which are in direct relation to the overall business operations, ie, following the letter of the law keeping GPMTD from legal violations. Not following the rules of the Freedom of Information Act, or the Open Meetings Act could have serious repercussions and/or financial impact for GPMTD.

Provide receptionist services to include: greet and assist visitors; answer phones; direct calls and respond to inquiries; record customer complaints and maintain database; provide Park and Ride, route and schedule information; coordinate meetings for departments as required; and keep track of staff meetings, travel, outside activities and attendance.

Performs other duties of a similar nature or level as required.


TRAINING AND EXPERIENCE

Associate's Degree in Business Administration or related field preferred, one to two years of related experience; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.


KNOWLEDGE

Recordkeeping principles and practices;

Modern office practices;

Ability to maintain a high level of accuracy, discretion and confidentiality.

SKILLS

Ability to be sensitive and responsive to customer complaints; ability to empathize with and diffuse customer complaints; team building; analytical and problem solving; decision making; effective verbal, written and listening communication skills; attention to detail and high level of accuracy; high level of organization and time management; computer skills including the ability to operate spreadsheets and word-processing programs;

Stress management and sufficient skill in typing to complete 60 - 75 words per minute accurately.


PHYSICAL REQUIREMENTS

Working conditions are generally indoors, in a temperature-controlled office environment, working closely with others and alone.

Possible exposure to dirt, dust, moderate noise, electrical/chemical/mechanical hazards, communicable diseases, angry/difficult people, and construction sites.

Essential and other important responsibilities and duties may require maintaining physical condition necessary for walking, standing, or sitting for prolonged periods of time; kneeling, squatting, bending, twisting, and crouching during assigned activities, pushing and/or pulling, climbing stairs, lifting, and carrying materials.

Must be able to lift up to 20 pounds at times.

Must be able to access and navigate each department at the organization's facilities.
