Job Description

Position Objective: Responsible for providing high-level administrative support to President/CEO, Administrative Team, and Board members by handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings for executives, conducting research, and preparing statistical reports as requested.

Essential Duties/Responsibilities

  1. Support the philosophy through the agency’s mission , vision, and values.
  2. Manage all responsibilities based on the agency mission, using individual choice and all appropriate policies, procedures, and regulations.
  3. To conduct oneself in a manner that reflects the highest standards of professional courtesy and ethical practices to people served, staff guardians, families, and all outside contacts.

Assistance to the Chief Executive Officer

  1. Prioritize providing administrative assistance to the CEO by handling information requests, preparing correspondence, arranging conference calls, scheduling meetings, and other special projects.
  2. Maintain an ongoing list of special projects as determined by the CEO, and report on progress in a timely manner.
  3. Assist the CEO by building relationships and focusing on timely communications with board members and other key contacts.
  4. Oversee the administrative/corporate filing system and electronic data storage to ensure the maintenance of all corporate records in an orderly and easily retrievable fashion.
  5. In the absence of the CEO, facilitate necessary communication regarding decisions and meetings that require the attention of other administrators.

Program / Department Development and Coordination

  1. Prepare reports, letters, and other documents as requested.
  2. Ensure the provision of supportive services to the officers and members of the EP!C Board of Directors, as necessary to their role and function, including notification of meetings, etc.
  1. Maintain files as related to Board, Committees, and subsidiary corporate files.
  2. Schedule appointments and handle details for the CEO and other Board or Administrative staff as requested.
  3. Answer phone calls and direct calls to appropriate parties or take messages.
  4. Record, type, and distribute meeting minutes for Board, Executive, and agency committees.
  1. Work with all committee chairs to ensure ongoing documentation of committee activities.
  2. Support agency committees by taking notes/recording the minutes of all committee meetings.
  1. Read and analyze incoming information, submissions, and reports to determine their significance and plan their distribution.
  2. Perform general office duties such as ordering supplies and maintaining records management database systems.
  3. As requested, open, sort, and distribute incoming correspondence, including faxes and email.
  4. Make travel arrangements for executives.
  5. Communicate with others courteously and professionally.
  1. Contribute to and maintain a healthy and productive work environment.
  2. Maintain agency keys and distribution to agency staff.
  3. Chair the Employee Recognition Committee.

Marginal Responsibilities

  1. Perform other duties as assigned.
  1. As a mandated reporter, ensures all allegations of abuse and neglect are reported as required.

Education/Experience Requirements

  1. High school diploma. Associate degree in business preferred.
  2. 1-year clerical experience required.
  3. An equivalent combination of education and experience considered.

  2. Regular reaching, grasping and standing.
  3. Other physical activities related to an office environment.
  4. Operates general office equipment, including multi-line phone, fax machine, printer, copier, and personal computer.

  1. Work occurs in an office environment.
