Children and Families First Delaware Inc is Hiring an Administrative Support Specialist Near Wilmington, DE

Description

 Responsible for advanced administrative support to an assigned program/ and/or office site.

  •  Serve in the role of providing administrative support for assigned program(s), assisting with documentation, management of data sets, creation and management of Excel spreadsheets, extracting data for reports including, but not limited to: 
  • Generate disseminate reports and summarization reports monthly, quarterly and annually;
  • Maintain community referral lists;
  • Compiling or assisting in the compilation of statistical information for special reports. 
  • Conducting referral follow ups and related communications;
  • assist with assigning clients to programs;
  • updating waiting lists; and
  • Maintain and revise program schedules
  • Prepares and copies correspondence, records, and reports as assigned.
  • Corresponds by mail and/or telephone with potential clients regarding their service.
  • Take minutes at meetings, as assigned.
  • May collect payments from clients, as appropriate.
  • Reconcile invoices, as appropriate.
  • Orders and maintains supplies, as required.
  • Submit check requisitions and/or gift card requests, as needed. 
  • Schedules appointments as appropriate.
  • Maintains files and records
  • Provides front desk receptionist coverage.
  • Establishes and maintains professional relationships within the agency and community.
  • Maintains agency standards regarding confidentiality and quality.
  • Attend community meetings and assist with program outreach, as assigned.
  • Serves on staff committees as assigned and/or approved.

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED); minimum of two years administrative office experience and/or training; or equivalent combination of education and experience, required. AA degree in business/admin support functions, preferred. 

  • Previous experience with office equipment (computers, fax, calculator, photocopier, telephones, etc.) with advanced Excel skills, preferred. 
  • Ability to manage and analyze program data.
  • Ability to write summaries of program activities, operations for reports.
  • Accurate typing and/or word processing skills.
  • Knowledge of record keeping, filing, and general office procedures.
  • Ability to work independently and accurately.
  • Ability to respond appropriately to the cultural differences present among the agency’s service population.
  • Strong organizational and time management skills.
  • Must have valid driver’s license, which meets the requirements of the agency’s insurance carrier.
