Chicago Bears is Hiring a HUMAN RESOURCES ASSISTANT Near Forest, IL

 

Title: Human Resources Assistant

Department: Human Resources

Reports to: Manager of Employee Experience

About the Role

This full-time, hourly position will assist the Human Resources department with various clerical and administrative HR functions. The position is primarily located at our headquarters in Lake Forest, IL with travel to our downtown Chicago office.

General Responsibilities

Administrative

  • Maintain accurate and confidential human resource files, including personnel, benefits, medical, etc.
  • Complete timely and accurate expense reports for all purchases on HR corporate card
  • Support organization and distribution of annual Club Gear Policy 
  • Assist with calendar management for EVP of People and Culture & Chief Human Resources Officer
  • Manage internal HR Playbook (intranet) page and HR Calendar 
  • Coordinate gifts on behalf of Club (such as flowers, baby gifts, etc.)
  • Maintain organization of HR storage areas and inventory
  • Create and run employee reports from HRIS as necessary
  • Assist with compliance-based reporting (OHSA, EEOC, etc.)
  • Assist with posting and content creation of internal intranet (Playbook)

Talent Development

  • Assist in the coordination of Club wide training including room setup, facilitator communication and hospitality/travel arrangements, scheduling, and calendar invites, etc.
  • Record and track all training in appropriate databases (i.e. HRIS)

Talent Acquisition

  • Clerical assistance with recruiting duties such as posting positions, scheduling interviews, and related duties
  • Coordinate final in person interviews for all full-time roles including but not limited to travel (if needed), internal scheduling, booking rooms
  • Clerical assistance with communication to job candidates including video interview invitations
  • Assist with Job Opportunities email box
  • May attend job fairs on behalf of the club as needed

Hiring & Onboarding

  • Manage inventory of all onboarding materials such as gifts and welcome boxes
  • Create and mail welcome packages for all new full-time employees
  • Assist with organizing, coordinating, and conducting orientation sessions as needed
  • Clerical assistance with new hire paperwork, specifically for gameday employees, including emailing offer letters.
  • Order business cards and notepads for all new full-time employees
  • Assist with coordinating with third-party provider pre-employment screening such as background checks, processing documentation, and obtaining appropriate documents to satisfy Form I-9 requirements
  • Assist with the on-boarding process for new employees, including ensuring that new employees receive applicable policies and are scheduled for and attend applicable training
  • Other HR-related duties as assigned

Qualifications

  • Associate or bachelor’s degree in human resources or related field. The Chicago Bears will also consider candidates with a comparable HR certificate or at least 2 years’ experience in Human Resources related duties.
  • Proficient in Microsoft Office Suite (Outlook, Excel, Teams, Word, power point, etc.). HRIS experience is preferred. 
  • Understand the confidential nature of Human Resources department and maintaining confidentiality
  • Excellent interpersonal communication skills (verbal and written)
  • Excellent organizational skills and attention to detail
  • Ability to demonstrate and use professional judgment
  • Highly collaborative, creative, resourceful, and self-motivated
  • Maintain an enthusiastic, can-do attitude
  • Able to manage multiple responsibilities/projects at a time
  • Must be dependable and punctual
