Description Crain Communications is looking for a skilled Office Manager to support our New York Office. In this role you will support the offices in an administrative fashion and provide excellent customer service to all employees, visitors, and suppliers. Responsibilities: Oversees and support all administrative and facility duties in the office and ensures that the office is operating smoothly Provides excellent customer service to all employees and guests needing assistance from office services/facilities Management responsibilities over the Mailroom Clerk and acts as backup to cover days off or as needed to receive and sort incoming mail and deliveries, and manage outgoing mail Manages office supplies inventory and place orders as necessary Follows office policies and procedures, and ensure they are implemented appropriately and reviews and suggests updates and improvements Assists with office layout planning and office moves and with managing and maintaining setup and take down of special events that may require table and chair setup and take down Assists in managing office budget, creation of purchase requests, receivers and the processing of invoices to be paid by accounts payable Represents the Company between building management office, contractors and suppliers and as a local corporate representative to employees Identifies opportunities for process and office management improvements, cost reductions, procedure improvements and design Provide other administrative support as necessary, including scheduling group meeting requirements, maintaining facility calendars, doing research, and creating reports Works with technology and various software programs such as Microsoft Word, Excel, Workday, Pitney Bowes SendSuite, office security, badge maker, and other software Provides a safe and secure working environment for all employees and guests. This includes but not limited to life safety responsibilities in maintaining AED machines and fire and active shooter procedures. Environmental emergency point person and leader Familiar with state and city rules and regulations related to pandemic protocol for working in an office. Maintains security photo ID database, ID dispersal and deactivations.
