California Fire Stop, Inc. is Hiring an Administrative Assistant/Bookkeeper Near Oceanside, CA

About Us: California Fire Stop, Inc. is a leading specialty contractor known for our commitment to quality and excellence. We are seeking a detail-oriented and organized Administrative Assistant/Bookkeeper to join our team. The ideal candidate will have experience in the construction business office setting.

Responsibilities:

  • Manage day-to-day bookkeeping tasks, including processing of daily deposits, daily cash transactions, assist AR, AP, PR, HR departments bookkeeping needs.
  • Maintain accurate records in QuickBooks Online (QBO) and QuickBooks Desktop.
  • Handle unconditional and conditional waivers, ensuring proper documentation and compliance.
  • Convert & organize hard copy files to paperless files within Dropbox or similar online file storage.
  • Organize & Maintain Vehicle fleet records including Registration, finance records, Amortization schedules, Auto insurance, driver records, etc.
  • Manage office administration tasks, including filing, scheduling, ordering of office supplies, communications for multiple departments.
  • Utilize Microsoft Office suite (Word, Excel, Outlook) for various tasks.
  • Collaborate with other team members to support & improve company administrative operations.

Requirements:

  • Proven experience in construction business office administration and bookkeeping.
  • Proficiency in QuickBooks Online (QBO) and QuickBooks Desktop.
  • Strong knowledge of Microsoft software, including Word, Excel, and Outlook.
  • Experience utilizing file storage systems including Drop Box & Microsoft.
  • Experience working with unconditional and conditional waivers.
  • Excellent organizational and multitasking skills.
  • Strong attention to detail and accuracy in all tasks.
  • Ability to work independently and as part of a team.
  • Strong communication skills, both written and verbal.
