BradyPLUS is Hiring a HR Coordinator Near San Diego, CA

Position Overview

As a Human Resources Coordinator, you will serve as a “jack of all trades”. Reporting to the VP of HR, and dotted line to the Regional Director of HR – West, you will provide a wide range of HR support and general administrative support to the BradyPLUS HR team and employees.

Shift: Monday – Friday, Flexible 8am -5pm shift

Pay Range: $44,000 - $60,000 annually 

Work Location: The position is based in San Diego, CA and offers a Hybrid work schedule

Responsibilities Include:

As a Corporate Human Resources Coordinator you will partner primarily with the VP of HR to help coordinate and facilitate the HR Program in the areas of: general administrative duties, HR administrative duties, event planning, and special projects. The HR Coordinator supports the HR leadership team across BradyPLUS. This role is extremely expansive given that projects may include working directly with VP of HR but also with senior leadership and various different departments within the organization.

Annually

  • Assist Regional Director of HR with annual bonus scrub
  • Assist Regional Director of HR with annual Affirmative Action reporting
  • Assist Regional Director of HR with annual EEO-1 reporting
  • Assist Regional Director of HR with annual VETS-4212 reporting
  • Assist Regional Director of HR with OSHA Log collection, submission, and posting requirements

Quarterly

  • Analyzing and reporting exit survey results
  • Coordinate HR team engagement activities
  • Service awards - Assist in tracking and distributing service awards and certificates.
  • “Employee of the Quarter” - Assist with planning local “Employee of the Quarter” meeting. Assist with collecting nominations and ordering plaques for the winners.

Monthly

  • Cake Day
  • Monthly birthday list distribution
  • Plan, coordinate and set-up for employee engagement activities
  • Approve and submit MOTUS mileage reimbursement for Sales Reps to A/P

Weekly

  • Upload all misc. documents to Dynafile (electronic personnel file storage)
  • Auditing New Hire Files - Audit all incoming documentation from field HR reps for accuracy and completion within Dynafile
  • Term Files auditing of termination documentation within Dynafile
  • Auditing of Payroll change notices within ADP and Dynafile
  • Disciplinary tracking- Upload and track all disciplinary actions on SharePoint, employee personnel files in Dynafile and ensure accuracy for end of the year projects
  • MOTUS - Track new hires and terminations in Sales team to update on MOTUS reimbursement website
  • Hytest - Submit new hires and terminations in Operations team to vendor contact for Safety Boot Voucher Program
  • Attend HR Leadership Team meetings and take meeting minutes

Daily

  • HR Mail distribution
  • HR invoices approvals and handoff to A/P

As needed

  • Errand Running (department coffee & lunch runs)
  • Back up to Local distribution center HR Generalist (conduct new hire orientations, payroll assistance, creation of new hire printable packets)
  • Assist with creating PowerPoint presentations as needed to support VP and Regional Director of HR
  • Manage HR Org Chart alterations and maintain company-wide HR Contact List
  • Manage HR electronic storage (SharePoint and Intranet site) and any updates, entries, and audit/oversee what HR Reps input
  • Unemployment Claims- Coordinate responses with Payroll and HR Reps, upload to SharePoint and coordinate with HR Reps on hearings, if applicable.
  • Employee Online Surveys (i.e. exit survey, 90-day survey, HR Conference survey) manage distribution and monitor results.
  • I-9 Compliance & Retention- Ensure receipt for new hires, maintain current employees with restrictions, move when employee is terminated, oversee E-Verify process and ensure that new employees are providing appropriate documentation.
  • Recruiting Assistance –iCIMS special project assistance (as needed)
  • DOT verifications – Complete verifications of employments for DOT roles
  • Update and maintain HR Packets and New Hire Orientations Slides (New Hire, Termination, LOA, WC, etc.) upload to SharePoint and internal intranet for WAXIE HR Reps 
  • Maintain/Update HR SharePoint page
  • Facilitate Policy Updates across all of Envoy Solutions. Assist with documenting and developing HR policies and procedures into formalized documents that can be easily referenced and shared with managers. (i.e. revised policies and handbooks)
  • Legal Support for Claims work with local HR Rep, Payroll, Director of Employee Relations and HR Compliance to prepare necessary documents
  • Assist in planning employee meetings including, but not limited to; holiday parties, staff meetings
  • Assist with FedEx/Certified mail shipments for department
  • Maintain and organize HR storage room
  • Other duties as assigned including, but not limited to; ordering special occasion gifts/plants, assisting with bids, running reports for analytics and data processing, etc.

The ideal candidate will have:

  • Knowledgeable and up-to-date on Federal and State law pertaining to HR
  • Previous HRIS and ATS database experience
  • Ability to retain confidential information
  • Analytical mindset 
  • Superior judgment in complex and diverse situations
  • Exceptional and effective writing, verbal and presentation skills
  • Ability to effectively prioritize and complete multiple projects
